Outbound: the agent calls

Arrangement meetings booked with what to bring

The morning after, the family doesn't have to remember to call back. The agent phones them at a kind hour, finds a time that works for the people who need to be there, and texts the address and the list.

When it starts

A director marks a case ready for an arrangement meeting, usually the morning after the first call.

What the agent does

Calls the family contact, finds a time for everyone who should come, texts what to bring.

What your team gets

A meeting on the director's calendar, and a family who arrives with clothing, photos and papers in hand.

How it works

  1. Waits for the director's word

No call goes out until the director marks the case. The family never hears from the agent before a person has spoken with them.

  2. Calls at a kind hour

After 9 in the morning, in the funeral home's name, with the director's name so it's familiar.

  3. Asks who should be there

A sister flying in from Calgary, a brother who works days. It finds a time that suits the people who'll decide together.

  4. Books the director

The same director who took the first call where possible, in the arrangement room or at the family's home if you offer that.

  5. Texts what to bring

Clothing for their loved one, a photograph for the obituary, the pre-arrangement papers if there are any, and any veterans or pension details.

  6. Lets the director know

Who is coming, what they mentioned, any wishes already said, like a church service or a Legion tribute.

Example call

  1. AI agentGood morning, is this Callum? It's Emma calling from Harbourview Funeral Home, for Ian. First, how are you doing this morning?
  2. CustomerTired. But okay. Thanks for asking.
  3. AI agentThat's understandable. Ian would like to sit down with you to plan your mother's service. Is there anyone who should be there with you?
  4. CustomerMy sister's flying in from Calgary. She lands tomorrow at noon.
  5. AI agentThen would tomorrow at 3 or Thursday at 10 be better, so she can come?
  6. CustomerThursday at 10.
  7. AI agentThursday at 10 with Ian. I'll text you the address and a short list: some clothing for your mother, a favourite photo, and her pre-arrangement papers if you find them. Please don't worry if you can't.
  8. CustomerThank you. That helps.

After the call: Ian has Thursday at 10 with "sister arriving from Calgary" in the note. Callum has the address and the list by text, and the pre-arranged file is attached to the case for the meeting.

What your team gets

  • Arrangement meetings on the director's calendar, with who's coming
  • A text to the family with the address and what to bring
  • Calls only after the director has marked the case ready
  • Wishes the family mentions passed on before the meeting
  • The same director kept with the family where possible
Set up with you: The team sets up a connection to your case management in Passare, FrontRunner or Gather and your directors' calendars, writes the call and the bring-along list with you, and sets the hours it may call families.

Questions

Is it too soon to call?

It calls only after the director has marked the case ready, at the hour you set, and opens by asking how they are. Families tell us it's one less thing to remember.

Can the family choose to call back instead?

Yes. If they'd rather call later, it says that's completely fine and gives the direct number for the director.

Does it explain options or prices?

No. Those are for the arrangement meeting with the director, with your price list in front of the family.
