Inbound: the customer calls

Visitation, service and flower delivery details

On visitation days, the phone rings for every family you're serving. Friends hear the times, florists hear where to deliver, and your staff stay with the families in the chapel.

When it starts

Someone asks when the visitation is, where the service is, or where to send flowers or a donation.

What the agent does

Finds the right family by name, reads the published times, texts the obituary and livestream link.

What your team gets

Staff free to be with families, and only details the family agreed to share given out.

How it works

  1. Finds the right family

By the name of the person who died, with the date if there are two. It confirms the full name before reading anything.

  2. Reads the times

Visitation, prayers or vigil, the funeral or memorial service, the interment and the reception, with each location.

  3. Gives directions and parking

The chapel, the church across town, the cemetery gate. Plus where to park, and the accessible door.

  4. Helps from far away

Texts the obituary page and the livestream link, and explains how to sign the online book of condolence.

  5. Handles florists

Where and when to deliver, for which room, and the family's wishes, like "donations in lieu of flowers".

  6. Keeps private what's private

If the family asked for a private service, it says so kindly and offers the condolence book instead.

Example call

  1. CustomerHi, what time is the visitation for Mr. Novak tomorrow?
  2. AI agentI'm sorry for your loss. Is that Peter Novak, of Sudbury?
  3. CustomerYes, that's him. We worked together at the mine.
  4. AI agentVisitation is tomorrow from 2 to 4 and 7 to 9 here in our Elm Street chapel. The funeral Mass is Friday at 11 at St. Andrew's, with a reception in the church hall after.
  5. CustomerA few of us want to send something. Flowers?
  6. AI agentThe family has asked for donations to the Northern Cancer Foundation in Peter's memory, if you'd like. I can text you the obituary with the donation link, and the livestream for anyone who can't make it Friday.
  7. CustomerPlease do. Thank you.

After the call: The caller got a text with Peter Novak's obituary, the donation link and the livestream for Friday. The director with the Novak family wasn't interrupted, and the call shows in the day's log under that family.

What your team gets

  • Visitation, service and reception times given for each family
  • Obituary, livestream and condolence book links texted
  • Florists told where and when to deliver, and the family's wishes
  • Private services kept private, as each family asked
  • Staff left with families instead of at the phone
Set up with you: The team sets up a connection to your funeral home software and website obituaries, such as Passare, FrontRunner or Tribute Archive, so each family's published times and wishes load as arrangements are made.

Questions

How does it know the times are right?

It reads them from the family's case once the director publishes the obituary. If a time changes, every caller after that hears the new one.

What if two people have the same name?

It asks for the town or another detail and confirms the full name before giving any times.

Can it take a message for the family?

Yes. It takes the caller's name and message and passes it to the director for the family, or points them to the online condolence book.
