Outbound: the agent calls

Planned water shutoffs called street by street

A door-hanger blows away. A phone call doesn't. Before a main repair, every household on the affected streets hears when the water goes off, for how long, and who to call.

When it starts

Public works schedules a water main repair, valve replacement or flushing that shuts off service.

What the agent does

Calls every address on the list, explains the shutoff, answers questions, flags special needs.

What your team gets

A call record for every address, and a short list of residents who need water or a visit.

How it works

  1. Gets the list

Public works marks the streets or valve area, and the agent pulls every service address and phone number on those water accounts.

  2. Calls at sensible hours

Between the hours the clerk sets, the day before and the morning of. No answer gets a voicemail and a text.

  3. Gives the plain facts

Which day, what time the water goes off, how long it should be off, and what to expect after: cloudy water, run the cold tap.

  4. Answers the questions

"Can I still do laundry tonight?" "Will my water heater be okay?" From the answers public works wrote.

  5. Flags who needs help

A resident on home dialysis, a daycare, a dental office, an elderly person alone. They go to the supervisor for bottled water or a visit.

  6. Reports back

Every address marked reached, voicemail or no number, so the crew knows who still needs a door knock.

Example call

  1. AI agentHi, it's Emma calling from the Township of Cedar Ridge about a water shutoff on Elm Street. Is this a good moment?
  2. CustomerSure. What's going on?
  3. AI agentPublic works is replacing a valve on Elm, so your water will be off Tuesday from 9 in the morning until about 2 in the afternoon. You might want to fill a jug or two Monday night.
  4. CustomerOkay. My mother lives with me and she's on oxygen, does that matter?
  5. AI agentThank you for telling me. The oxygen isn't affected by the water, but I'll let the supervisor know there's someone at home who needs care, and they'll drop off bottled water before 9.
  6. CustomerThat would be really kind.
  7. AI agentIt's noted. When the water comes back it may be cloudy, so run the cold tap for a few minutes. I'll text you these times now.

After the call: The address is marked reached with "resident at home needing care, bottled water before 9" on the supervisor's list, and a crew member dropped off two cases Tuesday at 8:30.

What your team gets

  • Every affected address called, with a reached, voicemail or no-number result
  • Texts with the shutoff times sent to every number
  • A list of residents and businesses that need water or a visit
  • The door-knock list for addresses with no phone
  • Questions residents asked, for the next notice
Set up with you: The team sets up a connection to your utility billing system for service addresses and phone numbers, your GIS valve map and your work order software, and writes the shutoff script and calling hours with public works.

Questions

Can it call for an emergency shutoff too?

Yes. Public works marks the area and the agent starts calling right away, with a shorter message and any hours your clerk allows for emergencies.

What about tenants who aren't on the water account?

It calls the numbers on the account, and the text includes a line to share with tenants. Residents can also sign up to be called for their address.

Does it handle boil water notices?

Yes, with the wording your public works and health unit give it, and a follow-up call when the notice is lifted.
