Community hall and park pavilion rentals
Families planning a birthday, a shower or a celebration of life hear right away whether the hall is free, what it costs, and what they need to bring. The booking is on the calendar before they hang up.
A resident or group calls to rent a hall, meeting room, ball diamond or pavilion.
Checks the facility calendar, gives your rate, notes the event and headcount, holds the date.
A held booking with the event details, and the rental agreement and insurance form sent out.
How it works
- Asks what they're planning
The event, the date, the time, how many guests, and whether there'll be alcohol or a caterer.
- Checks the calendar
The hall, the arena upper room, the pavilion at Riverside Park. It offers the closest open date if theirs is taken.
- Gives the rate
From your fee schedule: resident or non-resident, hourly or full day, kitchen use, deposit. Nothing it makes up.
- Explains what's needed
The rental agreement, event insurance if your town requires it, and a special occasion permit for a bar, as your clerk wrote it.
- Holds the date
Puts a hold on the calendar for the days you set and emails the agreement and payment instructions.
- Confirms the details
A reminder the week before with the key pickup, the setup time and who to call if the heat's off.
Example call
- CustomerHi, I'd like to book the community hall for my son's wedding social. Is Saturday, June 14th free?
- AI agentCongratulations! June 14th is open for the main hall. How many people are you expecting, and will there be a bar?
- CustomerAbout 180. Yes, a bar, and we'll bring a DJ.
- AI agentThe main hall holds 220, so that works. As a resident, it's 575 dollars for the full day with the kitchen, plus a 200 dollar damage deposit. For the bar you'll need a special occasion permit and event insurance.
- CustomerOkay. Can you hold it?
- AI agentI've held June 14th for two weeks. I'm emailing the rental agreement, the insurance form and how to apply for the permit. Once the deposit's in, it's yours.
After the call: June 14th shows as held on the facility calendar with "wedding social, 180, bar and DJ". The agreement went by email, and the deposit came in the following week, which confirmed the booking.
