Inbound: the customer calls

Month-end move-ins and move-outs taken by phone

The last week of the month, half your calls are people moving. She takes the final read date, the forwarding address and the new account, so customer service only checks and approves.

When it starts

A caller is moving out, moving in, buying, selling or renting a property you serve.

What the agent does

Confirms the address and dates, takes the final or first read, and sets up the new account details.

What your team gets

A complete move order ready to process, and a confirmation sent to the caller.

How it works

  1. Finds the service address

The address they're leaving or moving into, matched to the right premise and meter, and read back to them.

  2. Sets the date

Their closing or lease date becomes the final read or start date, inside the notice window you require.

  3. Takes the forwarding address

Where the final bill goes, and an email for it if they'd like.

  4. Opens the new account

Name, contact details, owner or tenant, and anything your new-account form asks, like a landlord's name.

  5. Explains the extras

Deposits, equal billing plans, pre-authorized payments and how the first bill works, from your information.

  6. Confirms it all

A text with the dates and the move reference, and the order in customer service's queue.

Example call

  1. CustomerHi, we're selling our house on Birch Crescent and buying one in town. I need to move the hydro.
  2. AI agentCongratulations on the move. Let's do both. What's the address on Birch Crescent, and your closing date?
  3. Customer88 Birch Crescent, we close on the 30th.
  4. AI agentThanks. I'll set the final read at 88 Birch Crescent for the 30th. And the new home?
  5. Customer212 King Street West, same day.
  6. AI agentService at 212 King Street West starts on the 30th in your name. Should the final bill for Birch Crescent go to King Street, or by email?
  7. CustomerEmail's fine.
  8. AI agentDone. I'll text you both dates and the reference number now. Would you like to keep your pre-authorized payment on the new account?

After the call: Customer service has a complete move order with the final read at Birch Crescent, the new account at King Street, both dated the 30th, and the final bill set to go by email.

What your team gets

  • Move-out orders with final read dates and forwarding details
  • New accounts with owner or tenant details filled in
  • Pre-authorized payment and billing plan choices noted
  • A text confirmation and reference for every move
  • Month-end volume handled without overtime at the counter
Set up with you: The team sets up a connection to your customer information and billing system (Cogsdale CSM, Harris NorthStar, Vadim or Cayenta), loads your notice windows, deposit rules and forms, and sets which moves need staff review.

Questions

Can she handle landlords and tenants?

Yes. She asks who's responsible for the account and takes the landlord's details when your rules need them.

What about a deposit?

She explains your deposit rules and how to pay. Whether a deposit applies is decided by your system and staff.

Can she take a meter reading?

If the caller reads the meter on moving day, she records it with the date and time on the move order.
