Outbound: the agent calls

Planned shutoff notices called to affected members

Pole replacement on Concession 4 means six hours without power. Every member on that feeder gets a call days ahead, and anyone on home oxygen or a well pump is flagged to your team.

When it starts

Maintenance, a pole or transformer change, or water main work that needs a planned shutoff.

What the agent does

Calls the affected members with the date, hours and area, and asks about special needs.

What your team gets

Every member told, a list of those who need extra care, and fewer surprised calls on the day.

How it works

  1. Gets the work order

The date, the hours, the area and the reason, entered once by your planner.

  2. Finds who's affected

Every account on the feeder, street or zone in the work order, with the best number on file.

  3. Calls with the details

The date, the start and end times, why, and what to do beforehand, like unplugging electronics or filling the bathtub for a water shutoff.

  4. Asks about special needs

Medical equipment, a farm with livestock waterers, a home business. Anyone who says yes is flagged to customer service.

  5. Answers the questions

"Will it be back by supper?" "What if it rains?" Answered from what your planner posted.

  6. Reminds the day before

A short text the day before, and a call if the work is moved or cancelled.

Example call

  1. AI agentHi, it's Emma calling from Lakeland Rural Electric Co-op for the Dhillon household on Concession 4. Do you have a minute about some planned work?
  2. CustomerSure.
  3. AI agentOur crew is replacing poles on your road next Tuesday. Your power will be off from 9 in the morning to about 3 in the afternoon. Is there anything at your place that needs power during those hours?
  4. CustomerMy father's on oxygen. He has a concentrator.
  5. AI agentThank you for telling me. I'll let our member services team know right away, and someone will call you today to talk about options for Tuesday.
  6. CustomerOkay, thank you.
  7. AI agentYou'll also get a text on Monday as a reminder. If the work moves, I'll call you.

After the call: Member services gets an urgent note that the Dhillon household has an oxygen concentrator, and calls the same afternoon. The rest of the feeder is reached and the planner sees who answered.

  • Medical equipment, farm and business needs flagged to staff
  • Reminders the day before, and calls if the date changes
  • A list of members not reached

Questions

How far ahead does she call?

As far ahead as you choose, often three to seven days, with a reminder the day before.

What if the work is cancelled?

Post the change once and she calls or texts every affected member with the new date or the cancellation.

Does she know who has medical equipment?

If your records mark it, she checks in with them first. She also asks every member, since records aren't always current.
