Inbound: the customer calls

Year-end CAM reconciliation questions answered

Reconciliation statements go out in the spring, and the phones fill up with tenants asking why they owe 3,800. The agent reads them their own statement in plain words and passes the real disputes to accounts receivable.

When it starts

A tenant calls about their additional rent, a reconciliation statement or their balance.

What the agent does

Reads their statement and balance, explains each line from your notes, sends disputes on.

What your team gets

Fewer routine calls in accounts receivable, and disputes that arrive written up.

How it works

  1. Confirms the tenant

By business name and unit, and checks the caller is on the account before reading anything.

  2. Reads the statement

Their share of taxes, insurance and common area costs, what they paid in monthly estimates, and the balance owing or credit.

  3. Explains the lines

Why snow removal went up after a heavy winter, or why the tax line changed, from the notes your accounts team writes.

  4. Sets out how to pay

The due date, whether it can be spread over months under your policy, and a payment link by text.

  5. Sends disputes on

A tenant who wants a backup or questions their share goes to accounts receivable as a written request, with what they asked.

  6. Gives next year's estimate

The new monthly additional rent estimate, if it's been set, so they can budget.

Example call

  1. CustomerHi, this is Anita from Sunrise Dental in unit 104. We got a reconciliation saying we owe 3,812. Why so much?
  2. AI agentHi Anita. I have your 2025 statement here. Your share of operating costs came to 21,460, and the monthly estimates you paid totalled 17,648. The difference is the 3,812.
  3. CustomerWhat went up?
  4. AI agentThe note from accounts says snow removal rose by about a third after the February storms, and the property tax line went up with the new assessment.
  5. CustomerCan we see the backup for snow removal?
  6. AI agentYes. I'll send that request to Christine in accounts receivable, and she'll email you the invoices. The balance is due April 30. Want the payment link by text in the meantime?
  7. CustomerSure.

After the call: Christine has a backup request from Sunrise Dental, unit 104, for the 2025 snow removal invoices, and Anita has the payment link and the April 30 due date by text.

What your team gets

  • Routine reconciliation calls answered from the statement
  • Backup requests and disputes written up for accounts receivable
  • Payment links texted to tenants who ask
  • Next year's estimate read out when it's set
  • A count of calls by property after statements go out
Set up with you: The team sets up a connection to your property accounting (Yardi, MRI Software or AppFolio) so she can read each tenant's statement and balance, and loads the explanation notes your accounts team writes each year.

Questions

Will it argue with a tenant about their share?

No. It reads the statement and the notes you wrote. Any question about the calculation goes to accounts receivable.

Can it take a payment?

It texts your payment link and explains the ways you accept payment. It doesn't take card numbers on the call.

What if the tenant wants the lease clause?

It notes the request and accounts receivable or the property manager sends it, with the backup if asked.
