Inbound: the customer calls

Plywood counts and paint desk questions answered

"Do you have twenty sheets of three-quarter plywood?" gets the count on hand, not "let me go look". The person at the counter keeps ringing through the line at the door.

When it starts

A caller asks if you carry something, how many you have, or when the yard or paint desk closes.

What the agent does

Checks the count on hand, gives your shelf price, answers hours and desk questions, sets a hold.

What your team gets

A counter that isn't pulled off the line, and customers who arrive knowing it's there.

How it works

  1. Gets the right item

Thickness, grade and size for sheet goods, length and treatment for lumber, gauge and length for fasteners. "Three-quarter, good one side, four by eight."

  2. Checks the count

On hand in the store and the yard, with the shelf price. If they need more than you have, it says how many and when more comes in.

  3. Answers the desks

Paint matching from a chip or sample, how long a match takes, which key blanks you carry, and when the paint desk and yard gate close.

  4. Sets a hold

If your rules allow, it holds the count at the yard under the caller's name until closing, and tells the yard.

  5. Offers delivery

For a load too big for the car, it offers delivery and books it with the address and drop spot.

  6. Passes the rest

How-to questions beyond your approved answers go to the right department with a callback note.

Example call

  1. CustomerHi, do you have three-quarter plywood? I need twenty sheets for a subfloor.
  2. AI agentLet me check. Is that tongue-and-groove subfloor, or regular sheathing?
  3. CustomerTongue-and-groove.
  4. AI agentThere are 34 sheets of the three-quarter T and G in the yard, at 58 dollars a sheet today. Want me to hold twenty for you?
  5. CustomerYes. And can you match a paint colour? I have a chip from the old wall.
  6. AI agentWe can. Bring the chip, about the size of a toonie or bigger, and a match takes around 15 minutes. The paint desk is open until 6.
  7. CustomerI'll come at five.
  8. AI agentTwenty sheets held under your name until closing at 8. Drive around to the yard gate and they'll load you.

After the call: The yard has a hold for 20 sheets of three-quarter T and G under the caller's name until close, and the paint desk sees a note that a chip match is coming around 5.

What your team gets

  • Counts on hand read from the store and yard, never guessed
  • Holds sent to the yard with the name and closing time
  • Paint, key and yard-hour questions answered off the counter
  • Shortfalls noted with when the next load arrives
  • A list of items callers asked for that you don't carry
Set up with you: The team loads your hours, desk services, hold rules and approved how-to answers, and sets up a connection to your point of sale and yard inventory (Epicor BisTrack, Paladin or Spruce) so counts and shelf prices are live.

Questions

Does it quote lumber prices?

It reads today's shelf price from your system. Contractor pricing comes from the contractor desk.

Can it give how-to advice?

Only the answers you approve, like which screws go with which deck boards. The rest goes to staff.

Will it hold stock?

If you allow holds, for the time you set, and the yard is told.
