Inbound: the customer calls

Private engagement ring viewings, kept quiet

Someone planning a proposal calls three stores before choosing where to sit down. Yours answers, books a quiet hour with the designer, and keeps the secret, down to skipping the text when their partner reads their messages.

When it starts

A caller asks about engagement rings, often after hours, often calling more than one store.

What the agent does

Books a private viewing, notes budget, stone and style, and asks how to reach them discreetly.

What your team gets

A private appointment with the brief written down, and a clear note on how to contact the customer.

How it works

  1. Answers while the floor is busy

A Saturday at the showcase or 9 at night, the call is picked up in the store's name. Staff stay with the customer holding the tray.

  2. Puts them at ease

Congratulations first. Then a few gentle questions: a rough budget range, the shape she likes, natural or lab-grown, yellow, white or rose gold.

  3. Asks how to stay in touch

Is it safe to text this number? A caller who shares a phone plan or a laptop gets no texts or emails, and the booking says so in red.

  4. Books the quiet hour

Picks from the designer's open times, including before opening or after close if the store offers them, and marks the appointment private.

  5. Handles the ring size question

Most people don't know it. The agent explains the ways the designer can help estimate it, and that sizing after the yes is routine.

  6. Hands the designer the brief

Budget, shape, metal, timing of the proposal and any family pieces they want to reuse, so the right stones are out of the safe before they arrive.

Example call

  1. AI agentThanks for calling Kettle Creek Jewellers in St. Thomas, this is Emma. How can I help?
  2. CustomerHi. I'm thinking of proposing in the summer, and I'd like to look at rings without a crowd around.
  3. AI agentOh, congratulations. Our designer Rania does private viewings. Do you have a rough range in mind, and a shape she tends to like?
  4. CustomerMaybe six to eight thousand. She keeps sending me pictures of emerald cuts.
  5. AI agentThat's a great clue. Rania has Thursday at 6:15 after we close, or Saturday at 9:15 before we open. Which suits you?
  6. CustomerThursday. Please don't text me though, she uses my phone for maps.
  7. AI agentGot it. No texts and no calls to this number about this, and I've put that on the booking. Thursday at 6:15 with Rania. It might be worth writing down.
  8. CustomerDone. Thank you.

After the call: Rania's Thursday 6:15 shows as private, with "six to eight thousand, emerald cut, summer proposal" in the notes and a do-not-contact flag on the number. The summary and recording sit in the portal.

What your team gets

  • Private viewings on the designer's calendar, flagged so the front counter knows
  • Budget range, cut, metal and proposal timing written down before the visit
  • A do-not-contact flag on any number the customer asks to protect
  • After-hours and before-open viewings offered only when you allow them
  • Recording, transcript and summary in the portal
Set up with you: The team loads your hours, designers, viewing rules and the questions you like asked, and sets up a connection to your store calendar and your Jewel360 or Lightspeed customer records. You hear test calls before it goes live.

Questions

Will it quote a diamond price?

No. It notes the range the caller gives so the designer can prepare. Stones, settings and pricing come from your designer at the viewing.

What if they want to talk to the designer right now?

If the designer is free, it warm-transfers the call with a short private summary first. If not, it books the viewing and passes on the message.

How does it keep a proposal secret?

It asks whether texts and calls are safe. If not, nothing goes to that number, and the booking carries a note so staff don't call either.

Can it book viewings outside store hours?

Only the times you open up. Many jewellers keep a few early or late slots for proposers, and it offers those first.
