Outbound: the agent calls

Custom ring milestones called to the client

A custom piece stalls when the client can't be reached. When the render, the wax or the finished ring is ready, the agent calls, books the viewing and writes down what the client wants changed, so the goldsmith keeps moving.

When it starts

The designer marks a custom job ready for the client: render, wax model, stone choice or final pickup.

What the agent does

Calls at a time that suits the client, books the viewing or takes the approval, notes any change.

What your team gets

A booked viewing or a recorded approval on the job, and the client's comments for the designer.

How it works

  1. Watches the custom jobs

When the designer moves a piece to render ready, wax ready, stone selected or finished, the client is added to the call list for that day.

  2. Calls the way they asked

Some clients said call only at work, or only after 5. A proposer's job keeps its discretion rules from the first booking.

  3. Gives the real update

"Rania has your wax model of the emerald-cut setting ready to try on." What stage, what's next and what the designer wants them to see.

  4. Books the viewing

Two open times with the designer. For a render, it offers to email the images first if the client prefers.

  5. Writes down the changes

A thinner band, a lower setting, a hidden diamond under the head. The client's words go on the job for the designer to confirm.

  6. Reminds about the balance

When the piece is finished, it reads the balance owing from the job and the ways to pay at pickup, only as the store has set them.

Example call

  1. AI agentHi Dev, it's Emma from Kettle Creek Jewellers. Is now a good time? It's about the ring with Rania.
  2. CustomerYeah, I'm at work, go ahead.
  3. AI agentThe wax model of your emerald-cut setting is ready to try. Rania would love you to see it before she casts it in platinum.
  4. CustomerAlready? Great. Can I come at lunch on Tuesday?
  5. AI agentShe has Tuesday at 12:15 or 12:45. ... 12:15 it is. Anything on your mind she should know before then?
  6. CustomerActually, can she look at making the band a bit thinner?
  7. AI agentI'll put that on the job for her: a thinner band. She'll have options ready Tuesday. And still no texts to this number, right?
  8. CustomerRight. Thanks.

After the call: The custom job shows the Tuesday 12:15 wax viewing and "client asks about a thinner band" for Rania. No text went out, because the do-not-contact flag from the first booking is still on.

What your team gets

  • Viewings booked at each stage of a custom piece
  • Client comments on the job in their own words
  • Approvals to cast or set, recorded with the time of the call
  • Discretion rules from the first call carried through every update
  • A list of clients who haven't answered after two tries
Set up with you: The team sets up a connection to your custom job tracking in Jewel360 or your repair and job software, agrees which stages trigger a call, and sets the calling hours and how many tries before a designer follows up.

Questions

Can it approve a design change?

It records what the client asked for. The designer decides what's possible and confirms it at the viewing.

Does it talk about the price of a change?

Only if the designer has written a price on the job. Otherwise it says Rania will go over it with them.

What if the client doesn't answer?

It leaves a short voicemail with no details if discretion is on, tries again at a time they prefer, and flags it after the second try.
