Inbound: the customer calls

Kibble checked on the shelf and set aside

Before they drive over after work, dog and cat owners call to ask if their food is in. The agent checks the count for that formula and bag size, holds one with their name on it, and the big-box store never gets the trip.

When it starts

A caller asks about a brand, formula, flavour or bag size, usually between 4 and 7.

What the agent does

Checks the shelf count, offers the closest swap if it's out, takes a hold with a pickup time.

What your team gets

A hold slip on the floor with name, product and pickup time, and a caller who's on their way.

How it works

  1. Gets the exact product

Brand, line, protein, life stage and bag size. "Grain-free salmon, adult, the 24-pound" is a different bag from the 11-pound puppy formula.

  2. Checks today's count

Reads the on-hand number for that exact item. Two on the shelf is said as two on the shelf.

  3. Offers a real swap if it's out

The same food in a smaller size, or the next delivery day, from your stock. It never suggests switching a pet's diet on its own.

  4. Takes the hold

Name, phone and pickup time. The floor gets the hold request so someone pulls a bag and tapes the name on it.

  5. Answers the add-ons

Frequent-buyer card stamps, whether frozen raw needs a cooler bag, dog wash hours, and the store's hours today.

  6. Lets the hold go cleanly

If they don't come by closing, the hold drops off the list the next morning, the way the store sets it.

Example call

  1. AI agentThanks for calling Bark and Bubbles in Guelph, this is Emma. How can I help?
  2. CustomerDo you have the Acana Wild Atlantic in the big bag? The 25-pound one?
  3. AI agentLet me look. Yes, there are two of the 25-pound bags on the shelf right now. Would you like one held?
  4. CustomerPlease. I'll be there around 5:45.
  5. AI agentCan I get your name? ... Thanks, Leah. I've sent the hold to the floor, they'll set one aside with your name on it. You're also one stamp away from a free bag on your card.
  6. CustomerOh nice. See you then.

After the call: The floor gets a hold request for one 25-pound Wild Atlantic for Leah at 5:45, and her frequent-buyer stamp count is noted so the till applies the free bag next time.

What your team gets

  • Hold requests on the floor with name, product, size and pickup time
  • Out-of-stock asks logged by product, so you see what to order more of
  • Frequent-buyer stamps read out to regulars
  • Fewer calls pulling staff off the till in the after-work rush
  • A summary of every call in the portal
Set up with you: The team sets up a connection to your Lightspeed, Shopify POS or DaySmart Pet inventory and loyalty records, loads your hold rules and hours, and sets who on the floor gets hold requests.

Questions

How does it know what's on the shelf?

It reads today's on-hand count from your inventory for the exact item. If your count is off, it says it's sending a staff member to double-check.

Will it tell people to switch foods?

No. If a food is out, it offers the same food in another size or the next delivery. Diet changes are for the owner and their vet.

How long does it hold a bag?

As long as you set, usually until closing. The hold drops off on its own after that.
