Inbound: the customer calls

Mini excavators and lifts reserved by the date

The counter is three deep at 6:30 and the phone keeps ringing. The agent takes the reservation calls: it checks which units are actually free for those dates, quotes your rates, and books the pickup or the delivery.

When it starts

A contractor or homeowner calls about a machine, a tool or an attachment for certain dates.

What the agent does

Checks the fleet for the dates, quotes your rates, asks the job questions, reserves the unit.

What your team gets

A reservation on a free unit, with dates, attachments, delivery and the job in the notes.

How it works

  1. Learns the job

Digging footings, trenching for a gas line, sanding a floor, framing a second storey. The job decides the machine class and the attachments.

  2. Checks the fleet

Which units in that class are free for those dates, including ones due back late or in the shop. It never offers a machine that's already out.

  3. Offers a close match

If the 3.5-tonne excavator is out, the 2.7-tonne or a different branch, with what that means for the job.

  4. Quotes your rates

Day, weekend, week or four-week rate, the attachment rate, fuel and damage waiver, from your rate sheet.

  5. Pickup or delivery

Pickup needs the right truck and hitch, and it asks. Delivery gets a window and a site address.

  6. Reserves and confirms

The unit held on the reservation, a text with the dates and what to bring to the counter, like ID and a card for the deposit.

Example call

  1. CustomerDo you have a mini excavator free this weekend? I'm digging out for a pool.
  2. AI agentLet me check for you. Is it Saturday and Sunday you need it, and are you picking it up or do you want it delivered?
  3. CustomerSaturday and Sunday. I'll need it delivered, I don't have a trailer.
  4. AI agentI have a 3.5-tonne Kubota free Friday afternoon to Monday morning. The weekend rate is 425 dollars, and delivery to Airdrie is 95 dollars each way.
  5. CustomerThat's good. Does it come with a bucket?
  6. AI agentIt comes with a 24-inch digging bucket. A clean-up bucket is 35 dollars for the weekend if you want one for grading. Is there a clear path about three metres wide to the backyard?
  7. CustomerYes, through the side yard. I'll take the second bucket.
  8. AI agentYou're reserved. Delivery Friday between 2 and 5. I'll text you the confirmation and what you'll need to sign on delivery.

After the call: The 3.5-tonne Kubota is reserved Friday to Monday with a clean-up bucket, delivery to Airdrie Friday 2 to 5 with "side yard, three metres" on the driver's ticket, and the customer has the confirmation by text.

What your team gets

  • Reservations held on units that are actually free
  • Rates, attachments and delivery charges from your rate sheet
  • Site access and trailer questions answered before the day
  • Close matches offered instead of a lost rental
  • After-hours reservations ready for the counter at opening
Set up with you: The team sets up a connection to your rental software and fleet availability (Point of Rental, Wynne RentalMan, InTempo or Alert RMS), loads your rate sheet, delivery zones and deposit rules, and sets the branches it books for.

Questions

Can it see units that are in the shop?

Yes. It sees which units are out on rent, due back, or down for service for the caller's dates, and only offers free ones.

Does it take the deposit?

It texts your deposit link or tells the caller what the counter takes on pickup, the way your yard does it.

Will it explain how to run the machine?

It gives your basic tips and tells the caller the counter or delivery driver shows them the controls.
