Outbound: the agent calls

Return-day calls: extend, pick up or call off rent

A lift that's done working but still on rent is a lift you can't put out again. The agent calls the day before it's due, extends it if the job needs more time, or takes the call-off and books the pickup.

When it starts

A contract due back tomorrow, an open-ended rental at the end of a cycle, or a customer calling it off.

What the agent does

Asks extend, pick up or return, checks the unit isn't reserved, books the pickup or the new date.

What your team gets

Off-rent times logged, pickups on the schedule, and units back for the next booking.

How it works

  1. Calls the day before

Every contract due back tomorrow, and open-ended rentals at the end of each billing cycle.

  2. Extend, pick up or return

"Your lift is due back tomorrow. Still working, or ready to come home?"

  3. Checks the next booking

If someone else has that unit reserved, it offers a similar one or a short extension the counter can approve.

  4. Takes the call-off

The off-rent date and time are logged on the contract, so billing stops when the customer says.

  5. Books the pickup

A pickup window on the truck schedule, with where the machine is parked and where the keys are.

  6. Reminds about fuel and cleaning

Your rules on fuel and cleaning, so there are no surprise charges at the counter.

Example call

  1. AI agentHi Ben, it's Emma from Wellington Rent-All. The two scissor lifts on your Guelph job are due back tomorrow. Are you done with them?
  2. CustomerOne of them, yeah. The other we need another week for the drywall.
  3. AI agentNo problem. I've extended the second lift a week, that's a weekly rate on your account. And I'll call the first one off rent as of now.
  4. CustomerGreat. Can you get it tomorrow morning?
  5. AI agentI have a pickup tomorrow between 8 and 11. Where will it be parked?
  6. CustomerInside the north door, ground floor. Key's in the lockbox, same code.
  7. AI agentPerfect. Pickup is booked, and I'll text you the off-rent time for your records.

After the call: The first lift is off rent as of the call with the time logged, a pickup is booked for 8 to 11 with "inside north door, key in lockbox", and the second lift is extended a week on the Cornerstone account.

What your team gets

  • Off-rent times logged when the customer calls it off
  • Extensions checked against the next reservation
  • Pickups booked with the parking spot and key
  • Units back in the yard sooner for the next rental
  • A text record of the off-rent time for the customer
Set up with you: The team sets up a connection to your rental contracts and pickup schedule (Point of Rental, InTempo, Wynne RentalMan or Alert RMS), and sets your extension rules, billing cycles and calling hours.

Questions

Can it extend a unit someone else has reserved?

It checks first. If the unit is reserved, it offers a similar one or sends the request to the counter.

When does billing stop?

At the off-rent time logged on the call, or by your yard's own rule, whichever you set.

What if nobody answers?

It leaves a short voicemail and a text, and if the contract passes its date, the counter sees a list in the morning.
