Inbound: the customer calls

"Will vinyl work in my basement?" answered, visit booked

Saturday, the showroom is full and the phone rings out. The agent answers the caller's real question, which floor suits their room, from your own product sheets, checks what's in stock, and books them in to see it.

When it starts

A caller asking which floor suits a room, whether a product is in stock, or when the showroom is open.

What the agent does

Asks about the room, answers from your product information, checks stock, books a visit.

What your team gets

A showroom appointment with the room and the shortlist, so the salesperson starts at the right rack.

How it works

  1. Asks about the room

Main floor, basement on a slab, condo over concrete, a bathroom. Kids, dogs, in-floor heat, and what's down there now.

  2. Answers from your sheets

Which vinyl plank you recommend below grade, engineered over a slab, the wear layer on the line they saw. Only what your product information says.

  3. Checks the stock

Whether the colour they saw online is in the warehouse, how many boxes, or how long a special order usually takes.

  4. Books the showroom

A time with a salesperson, so they're not waiting behind three couples on a Saturday.

  5. Sends them ready

A text with the time, the products they asked about, and a reminder to bring room sizes and a photo.

Example call

  1. CustomerIs vinyl plank okay in a basement? It gets a little damp down there in spring.
  2. AI agentVinyl plank is what we recommend most for basements, since it's waterproof. Is the basement concrete, and is there anything on it now?
  3. CustomerConcrete, with old carpet. About 600 square feet.
  4. AI agentThanks. One thing the measure tech checks is the moisture in the slab before install, so I'll note the spring damp. Were you looking at any colour in particular?
  5. CustomerSomething light, like a white oak look.
  6. AI agentWe have two white oak looks in stock right now, Harbour Oak and Nordic Ash, both rated for basements. Want to come see them? Saturday at 11 or Sunday at 1 with Tanya.
  7. CustomerSunday at 1.
  8. AI agentBooked. I'll text you the two names so Tanya can have them out, and bring a photo of the space if you can.

After the call: Tanya has Sunday 1:00 with a 600 square foot concrete basement, old carpet to remove, spring damp noted, and Harbour Oak and Nordic Ash pulled. The customer has both names by text.

What your team gets

  • Showroom appointments with the room and the shortlist
  • Suitability answers given from your own product information
  • Stock checked before a product is offered
  • Damp, pets and in-floor heat noted for the measure
  • Saturday phone calls answered while staff work the floor
Set up with you: The team sets up a connection to your RFMS or QFloors inventory and your showroom calendar, and loads your product sheets, which lines you recommend where, and your showroom hours.

Questions

Will it judge whether my slab is too wet?

No. It notes what the customer says and the measure tech checks the moisture. It never diagnoses the floor.

Can it quote an installed price per square foot?

Only a price you've given it. Installed prices usually come after the measure.

Does it know what's in stock?

Yes. It checks your inventory before it offers a product, and says when something is a special order.
