Outbound: the agent calls

Open RFQ quotes chased before the buyer decides

Your estimator spent a morning on that quote. The agent calls the buyer before they decide, confirms the quantity and the dates, and brings back either a PO or the reason it went elsewhere.

When it starts

A quote still open after the days you set, or a buyer's decision date coming up.

What the agent does

Calls the buyer, confirms the quote's details, answers from it, and sends the PO process or the reason back.

What your team gets

POs coming in, a reason on every lost quote, and price questions with the estimator.

How it works

  1. Builds the list

Each morning: quotes open past your wait, ordered by value and the buyer's decision date.

  2. Calls the buyer

With the quote number, the part and the quantity, so they know which one it is right away.

  3. Confirms the details

Still the same quantity? Still the same date? A changed release or revision goes to the estimator to requote.

  4. Answers from the quote

The quoted lead time, the finish, the terms and what's included. It never changes a price.

  5. Takes the PO path

Where to send the PO, who to send it to, and that the order is entered when it arrives.

  6. Learns the no

Price, lead time, a supplier they already use, a project that was cancelled. It notes the reason for sales.

Example call

  1. AI agentHi Marc, it's Emma from Red River Metal Works. Calling about quote 2214, the 200 mounting brackets in black powder coat. Have you had a chance to look?
  2. CustomerI have. Your price is fine, but I'm worried about the four weeks.
  3. AI agentUnderstood. Raymond quoted four weeks with the powder coat. Is there a date you need them by?
  4. CustomerThe 20th. That's three and a half weeks.
  5. AI agentLet me get that to Raymond today. He'll see if the coater can take them sooner, or if a first batch can ship early. He'll call you this afternoon.
  6. CustomerIf he can make the 20th, I'll send the PO.
  7. AI agentThat's great. I'll tell him the PO is ready on your side if the 20th works.

After the call: Raymond has a note on quote 2214: price accepted, needs delivery by the 20th, PO ready if the date works, callback this afternoon.

What your team gets

  • Every open quote called before the buyer decides
  • Changed quantities and revisions sent back for requote
  • Delivery-date and price questions to the estimator same day
  • A reason logged on every lost quote
  • Quote win rate by estimator and customer
Set up with you: The team sets up a connection to your quoting module and CRM (Epicor Kinetic, JobBOSS2, SYSPRO or HubSpot), and sets how long to wait after a quote, which quotes to call and who gets the notes.

Questions

Will it negotiate?

No. It reads the quote. Any price or date question goes to your estimator with a note.

Can it take the PO on the call?

It tells the buyer where to send the PO, and your team enters it when it arrives.

Won't buyers find it pushy?

It calls once about a quote they asked for, with the details in hand. If they say not now, it asks when to check back.
