Inbound: the customer calls

PO status calls answered from the shop schedule

"Where's our order?" pulls your shipper off the dock and your production manager off the floor. The agent finds the PO, reads where it is, texts the tracking number, and flags anything late before the buyer has to call twice.

When it starts

A buyer calls with a PO number or a part number asking about a ship date.

What the agent does

Finds the job, reads the routing step and ship date, texts tracking, flags a slip to production.

What your team gets

Fewer status calls on the floor, and late jobs flagged when the customer notices.

How it works

  1. Finds the job

By PO number, part number or the customer's name. It confirms the part and quantity before saying anything.

  2. Reads where it is

In laser, at the brake, in weld, out at the powder coater, in packing, or shipped. From the job's routing, in plain words.

  3. Gives the ship date

The promise date on the job. If it has moved, it says so plainly with the new date.

  4. Texts the tracking

Shipped orders get the carrier, the PRO or tracking number and the bill of lading by text or email.

  5. Flags a slip

A job behind its date goes to the production manager with the customer's words, so someone calls back with a plan.

  6. Takes partials

"Can you ship what's done?" is written up for production and shipping to decide.

Example call

  1. CustomerHi, Marc Gagnon at Westfield Ag. Our brackets were supposed to ship Tuesday. Where are they?
  2. AI agentHi Marc, let me look. That's PO 7731, 200 mounting brackets?
  3. CustomerThat's it.
  4. AI agentThey came back from the powder coater yesterday and they're in packing now. The ship date shows tomorrow, on the morning freight pickup.
  5. CustomerTomorrow? We needed them Tuesday.
  6. AI agentI'm sorry, that's a day late. I'll flag it to Anil in production now, and I'll text you the tracking number as soon as it's on the truck.
  7. CustomerOkay. Make sure it goes tomorrow.

After the call: Anil has a flag on PO 7731: customer expected Tuesday, now shipping tomorrow, customer unhappy. Marc will get the tracking number by text when shipping marks it loaded.

What your team gets

  • Status calls answered from the job, not from memory
  • Tracking and bills of lading texted when orders ship
  • Late jobs flagged to production with the customer's words
  • Partial shipment requests written up for production
  • Fewer calls to the dock desk
Set up with you: The team sets up a connection to your ERP, shop floor schedule and shipping records (Epicor Kinetic, JobBOSS2, SYSPRO or Global Shop Solutions), and agrees with your production manager what it reads out and what goes to them.

Questions

How does it know where the job is?

It reads the job's routing in your system: which operations are complete and which are next.

Will it promise a new date?

Only the date on the job. If a buyer needs a different date, production calls them.

Can it send the packing slip?

Yes. It texts or emails the packing slip, bill of lading and tracking once the order ships.
