Outbound: the agent calls

Day-before weight, gear and dock-time checks

The extra cooler and the brother-in-law who joined last week show up on the dock at 7 a.m. Unless someone asked the day before. The agent does, so the pilot plans the real load.

When it starts

A charter, fly-in or pickup on tomorrow's flight board.

What the agent does

Calls the party, re-checks passengers, weights and gear, confirms dock time.

What your team gets

A load that matches what's on the dock, and changes flagged before the pilot plans.

How it works

  1. Reads tomorrow's board

Each afternoon, every flight with its passengers, weights, gear and departure time.

  2. Calls the trip lead

The person who booked, at the hours you choose, with a text if they don't pick up.

  3. Re-checks the people

Same four passengers? Anyone added or dropped? New weights are taken for anyone new.

  4. Re-checks the gear

"Still two coolers and four duffels?" An added motor or canoe is flagged right away.

  5. Confirms dock time

When to be at the dock, where to park, and that weigh-in happens before loading.

  6. Tells dispatch what moved

The dispatcher gets only the changes, with the new total load, so the plan can be redone tonight.

Example call

  1. AI agentHi Greg, it's Emma from Red Pine Air in Red Lake. Checking tomorrow's flight to Gullrock. Still four of you, at the dock by 7?
  2. CustomerYes. Oh, but we picked up a 9.9 outboard for a backup. Is that okay?
  3. AI agentOutboards can fly if the tank is drained and it's in a bag. About how heavy is it?
  4. CustomerAround 30 kilos.
  5. AI agentThanks. I'll pass that to dispatch so the pilot plans for it. Park in the gravel lot by the hangar, and we weigh everything before loading.
  6. CustomerSounds good. See you at 7.

After the call: Dispatch sees the added 30-kilo outboard on Greg's booking with a new total load, and the pilot replans before the evening. Greg has the parking and weigh-in note by text.

What your team gets

  • Every party called the day before
  • Added passengers, gear and motors flagged with weights
  • A new total load for the dispatcher
  • Dock time and parking texted to the trip lead
  • Fewer surprises on the scale in the morning
Set up with you: The team sets up a connection to your booking system and flight board, and sets the calling hours, the gear rules it reads out, and which dispatcher gets the changes.

Questions

What if they've added a lot of weight?

It takes the new weights and gear and tells the caller the dispatcher will confirm. It never promises the extra load fits.

Does it call camp pickups too?

It calls the contact you have on file, like a lodge or a family member at home, to confirm the pickup day and time.

Can the party cancel on this call?

Yes. It records the cancellation, reads your cancellation terms, and tells dispatch right away.
