Outbound: the agent calls

Weather holds called out to every booked passenger

Fog on the lake at 6 a.m. used to mean twenty calls to one dispatcher. Now dispatch sets the hold once, and every passenger hears the same update before they leave the motel.

When it starts

Your dispatcher sets a hold, a delay or a cancellation on a flight.

What the agent does

Calls or texts each passenger with that update, answers questions, rebooks.

What your team gets

A dispatcher left to plan flights, and every passenger told the same thing.

How it works

  1. Dispatch makes the call

Only your pilots and dispatcher decide whether a flight goes. They set the hold, the next check time, or the cancellation.

  2. Every passenger hears it

A call to the trip lead on each affected flight, with a text to everyone on the booking.

  3. Says what dispatch said

"Flights are on hold for fog. The next check is at 9." Nothing more, and never a forecast of its own.

  4. Answers the waiting questions

Stay at the motel or come to the dock, whether there's coffee in the office, what happens to the lodge booking.

  5. Rebooks the cancelled

Offers the next open seats, notes airline connections at risk, and passes those to the dispatcher.

  6. Calls again at the next check

Lifted or extended, everyone hears it when dispatch updates it.

Example call

  1. AI agentGood morning, it's Emma from Red Pine Air. Calling about your 7:30 flight to Gullrock Lake. Our dispatcher has flights on hold for fog this morning.
  2. CustomerAh, figured. Should we still come down?
  3. AI agentThe next check is at 9. You're welcome to wait in the office, or stay put and I'll call you at 9 with the update.
  4. CustomerWe'll grab breakfast. Call us at 9.
  5. AI agentWill do. If it's still on hold at 9, the next check is 11, and your cabin week stays the same either way.
  6. CustomerThanks for the heads up.

After the call: All six passengers on the 7:30 and 8:15 flights were called or texted by 6:20. At 9:05 dispatch lifted the hold, and the agent called each trip lead with a new dock time of 9:45.

What your team gets

  • Every booked passenger told of a hold within minutes
  • The dispatcher's update given word for word
  • Cancelled passengers offered the next open seats
  • Airline connections at risk flagged to dispatch
  • A call-back at each new check time
Set up with you: The team sets up a connection to your flight board and booking system, and sets how dispatch posts a hold, which passengers get a call and which a text, and the wording your base uses.

Questions

Will it ever say a flight is going?

Only after your dispatcher marks it so. It never reads the weather or predicts anything itself.

What about passengers with an airline to catch?

It notes the airline and flight time, and puts them through to the dispatcher to rework the day.

Can it handle a whole morning of holds?

Yes. It calls many passengers at once and calls back at every new check time.
