Inbound: the customer calls

Lodge guest changeovers and crew moves scheduled

Your best customers aren't anglers, they're the lodges and camps that fill a plane every week. They call with a new guest list or a crew swap and it's on the board before the pilot asks.

When it starts

A lodge, outfitter, mining or survey camp, or First Nation office calls with a move.

What the agent does

Takes names, weights, dates, freight and fuel drums, and puts it on the board.

What your team gets

Rotations and freight runs on the flight board, with the account billed correctly.

How it works

  1. Knows the account

Recognizes the lodge or camp by its number and pulls its standing flights and billing.

  2. Takes the guest list

Who flies in, who flies out, and each person's weight. Out-going guests are matched so the plane isn't empty one way.

  3. Takes the freight

Groceries, propane, parts, fuel drums, a generator. Each with a weight, and anything your rules restrict goes to dispatch.

  4. Places it on the board

On the standing day, or the next open slot if it's extra, and says which aircraft your rules set.

  5. Confirms to the account

An email to the lodge manager or camp coordinator with the flights, names and cargo.

  6. Flags the urgent

A medical swap or a broken part holding up a crew goes straight to the dispatcher.

Example call

  1. CustomerHi, it's Lise at Trout Bay Lodge. Saturday's changeover: six guests in, five out, and we need groceries and two propane tanks.
  2. AI agentHi Lise. I have your Saturday 10 o'clock Otter. Can you give me the six names coming in, with rough weights?
  3. CustomerI'll email the list. Weights are on it. Groceries are about 150 kilos.
  4. AI agentPerfect. Propane goes on its own flight under our rules, so I'll ask dispatch to add a freight run Saturday afternoon. Is that okay?
  5. CustomerYes, that's fine.
  6. AI agentI'll send you the Saturday schedule as soon as the list is in, and the freight run billed to the lodge account.

After the call: Saturday's Otter shows Trout Bay's changeover with 150 kilos of groceries, the guest list attaches from Lise's email, and dispatch has a request to add a separate propane run billed to the lodge.

What your team gets

  • Lodge and camp rotations placed on the flight board
  • Guest names and weights for every leg
  • Freight and restricted cargo flagged by your rules
  • Bills on the right account
  • Urgent crew moves sent straight to the dispatcher
Set up with you: The team loads your accounts, standing flights and cargo rules, sets up a connection to your flight board, booking system and accounting software, and sets which requests it places and which go to dispatch.

Questions

Can it handle a crew list by email?

Yes. It matches the list to the booking and asks for anything missing, like a weight.

Will it schedule dangerous goods?

It follows your cargo rules exactly. Anything restricted or unclear goes to the dispatcher.

Does it know each lodge's standing day?

Yes, from your account details, and it books extra flights only in open slots.
