End-of-month moving dates held on the first call
The last week of every month, and the run-up to July 1, every mover in town is full. The agent answers every caller, holds the dates you can really do, and sends the rest to a waitlist instead of voicemail.
A customer with a closing date or lease end calls to book the move.
Checks crews and trucks for that date, holds a start time, explains the deposit, adds a waitlist.
Held dates on the crew schedule and a waitlist for full days.
How it works
- Starts from the date
The closing or lease date and the time they get keys, because a 1 p.m. key release changes everything.
- Checks real capacity
Crews, trucks and estimated hours already on that day. It offers only start times a crew can actually take.
- Holds the date
The date goes on the schedule as held, with the estimate details or a note that an estimate is still to come.
- Explains the deposit
Your deposit and cancellation terms, read as you wrote them, and a secure payment link by text if your office takes deposits that way.
- Waitlists full days
If the date is full, it offers the day before or after, and puts them on the waitlist for their date.
- Fills cancellations
When a held date cancels, it calls the first person on the waitlist for that day.
Example call
- CustomerOur closing is June 30 and we still don't have movers. Please tell me you have something.
- AI agentLet's see. What time do you get the keys to the new place?
- CustomerNoon. It's a two-bedroom condo in Kanata, from a house in Barrhaven.
- AI agentJune 30 I have one crew free for a 1 p.m. start. I can hold that for you now. Is that okay?
- CustomerYes, please, hold it.
- AI agentIt's held. To confirm it, there's a 200-dollar deposit, refundable up to seven days before. I'll text you the payment link along with the confirmation.
- CustomerPerfect, thank you so much.
After the call: June 30 at 1 p.m. is held on the crew schedule with the noon key release noted, and the customer has the deposit link. When the deposit is paid, the hold becomes a booking.
What your team gets
- Dates held only where a crew and truck are free
- Key release times on every booking
- Deposit links texted with the confirmation
- Waitlists for full days, called when a date opens
- Booked and held dates for the month at a glance
Questions
Will it overbook June 30?
No. It sees the crews and trucks already booked and offers only what's open.
Does it take card numbers on the phone?
No. It texts a secure payment link, and the customer pays there.
What happens to callers on a full day?
They hear the closest open dates and go on the waitlist. If a booking cancels, the first person on the list gets a call.
