Inbound: the customer calls

Video and in-home estimates booked with the access details

Your estimator walks in already knowing about the third-floor walk-up, the pool table and the boxes in the garage. The customer booked it in one call, at whatever hour they called.

When it starts

A customer calls asking for a quote or an estimate.

What the agent does

Takes the move details, books a video or in-home estimate, sends the confirmation.

What your team gets

An estimate on the estimator's calendar with every access detail noted.

How it works

  1. Gets both addresses

Origin and destination, the floor, the unit number and the date they need to be out and in.

  2. Asks about access

Stairs and how many flights, elevator and whether it must be booked, how far the truck can park from the door, narrow halls.

  3. Lists the big things

Piano, safe, pool table, hot tub, treadmill, antiques. Each is noted so the estimator prices it and the crew brings the right gear.

  4. Offers the right kind of estimate

A video walkthrough for most homes, in-home for big houses or long-distance moves, as your office prefers.

  5. Books it

Two open times on the estimator's calendar, a text confirmation, and the video link if it's virtual.

  6. Explains what's next

How the estimate works, when they'll get the written quote, and how your deposit holds the date, in your words.

Example call

  1. CustomerHi, we're moving from Guelph to Calgary in August and need a quote.
  2. AI agentCongratulations on the move. How big is the place in Guelph, and is it a house or an apartment?
  3. CustomerFour-bedroom house. There's a pool table in the basement.
  4. AI agentGood to know, our crew takes pool tables apart and crates the slate. Do you want us to pack, or will you pack yourselves?
  5. CustomerProbably the kitchen only.
  6. AI agentFor a long-distance move this size, our estimator comes to the house. I have Saturday at 10 or Monday at 5:30.
  7. CustomerSaturday at 10.
  8. AI agentBooked. Ryan will come Saturday at 10. I'll text you the confirmation and a short list of things to show him, like the basement and the garage.

After the call: Ryan sees Saturday 10:00 with "4-bed Guelph to Calgary, August, pool table, kitchen packing only" in the notes. The customer has a confirmation and the walkthrough list.

What your team gets

  • Estimates booked with addresses, home size and access
  • Specialty items noted for pricing and crew gear
  • Packing wanted, full or partial, on the file
  • Long-distance moves flagged for in-home estimates
  • Confirmation and walkthrough tips texted to the customer
Set up with you: The team sets up a connection to your moving software and the estimators' calendars, and loads your services, specialty item list and which moves get video or in-home estimates.

Questions

Can it do the estimate itself?

No. It gathers the details and books the walkthrough. The estimate comes from your estimator.

What about tiny moves, like one room?

If you quote small moves by phone from a set price list, it uses that. Otherwise it books a quick video call.

Does it handle French-speaking customers?

Yes, and many other languages. It asks before switching, which helps a lot around July 1 in Quebec.
