Inbound: the customer calls

Wedding guests booked into the couple's room block

Sixty guests calling one agent with the same questions about the same resort. The agent answers every one, books them into the block and keeps the couple's list up to date.

When it starts

A guest calls about joining a destination wedding group.

What the agent does

Finds the group, books room type and travellers, takes the deposit, answers resort questions.

What your team gets

A group list that's always current, and an agent free for the couple.

How it works

  1. Finds the wedding

By the couple's names or the group code on the invitation.

  2. Explains the block

The resort, dates, room types and per-person prices the agent set, with the deadline to book.

  3. Takes the travellers

Names as on passports, birthdates, departure airport and room type.

  4. Takes the deposit

A payment link by text, and the booking is added to the group once it's paid.

  5. Answers the resort questions

Adults-only areas, kids' prices, the wedding dress code, from what the agent and couple gave it.

  6. Keeps the couple posted

A weekly list of who's booked, who's asked and who hasn't paid.

Example call

  1. CustomerHi, I'm going to my cousin Jaspreet's wedding in Punta Cana. I'd like to book.
  2. AI agentLovely. I see the Gill and Brar wedding, February 14 to 21 out of Toronto. Would you like a standard room or an ocean view?
  3. CustomerStandard, for me and my husband. Can we leave from Ottawa instead?
  4. AI agentI'll ask Sandra to check Ottawa flights for you and call back with the price. The Toronto departure is 2,389 per person.
  5. CustomerPlease check Ottawa. What's the deposit?
  6. AI agentThe deposit is 300 per person. I'll text the link once Sandra confirms the flights, so you're paying for the right trip.

After the call: Sandra has a request to price Ottawa departures for two in the wedding block. The guest is on the group list as "asked, Ottawa", and the couple's weekly update will show it.

What your team gets

  • Guests booked into the block with names and room types
  • Deposits taken by payment link
  • Changes like a different departure city passed to the agent
  • A weekly group list for the couple
  • Resort and dress-code questions answered from the couple's notes
Set up with you: The team sets up a connection to your booking system (such as Sabre or Amadeus), group lists and payment processor, and loads each group's dates, prices and couple's notes.

Questions

Can it change the group price?

No. It reads the prices the agent set. Changes like a different departure city go to the agent to price.

What if the block is full?

It takes the guest's details and tells the agent, who checks whether more rooms can be added.

Does the couple hear from it?

Only as you set, usually a weekly list of who's booked and who's paid.
