Outbound: the agent calls

Final payment and passport-name checks before departure

A missed final payment can cancel the whole trip, and a misspelled name can stop it at the airport. The agent calls ahead about both, so neither surprises the client or the agent.

When it starts

A balance due in the days you set, or a departure coming up.

What the agent does

Calls with the amount on file, sends the payment link, checks passport names and expiry.

What your team gets

Balances paid on time and name problems caught weeks early.

How it works

  1. Builds the list

Every booking with a balance due soon, and every departure in the next few weeks.

  2. Calls with the numbers

"Your balance of 4,120 is due on December 1." Read from the booking, never guessed.

  3. Sends the payment link

By text and email, and the booking shows paid when it clears.

  4. Checks the names

Each traveller's name read back against the booking, and the client asked to compare it with their passport.

  5. Checks the expiry

It asks when each passport expires and flags any that fall close to the travel dates.

  6. Flags the agent

A name mismatch, an expiring passport or a payment problem goes to the agent on the file.

Example call

  1. AI agentHi Amrit, it's Emma from Prairie Sky Travel. Quick call about your Cancún trip in March. Is now okay?
  2. CustomerSure.
  3. AI agentYour balance of 5,640 is due January 15. I'll text you the payment link. Can I also read back the names on the booking?
  4. CustomerGo ahead.
  5. AI agentAmritpal Singh, Gurleen Kaur, Arjun Singh and Simran Kaur. Do those match your passports exactly?
  6. CustomerGurleen's passport has her middle name too. And her passport runs out in May.
  7. AI agentThanks for checking. I'll pass both to Megan so she can look at the name and the dates. She'll call you this week.

After the call: The payment link is sent, and Megan has a note on the file about the middle name and the May passport expiry, with a reminder to call this week.

What your team gets

  • Balance-due calls with the amount from the booking
  • Payment links sent and paid status updated
  • Traveller names checked against passports
  • Passport expiry dates collected and flagged
  • Problems sent to the agent on the file
Set up with you: The team sets up a connection to your booking system, client database and payment processor, and sets when balance calls go out, how close to departure it checks passports, and who gets the flags.

Questions

Will it tell clients what documents they need?

It shares only what your agents have asked it to say, and passes document questions to the agent on the file.

Can it take a payment on the call?

It sends a secure payment link by text and email, and the booking updates when it's paid.

What if the client can't pay by the date?

It notes what they said and tells the agent right away, before the supplier deadline.
