Outbound: the agent calls

Check-in calls when a dancer stops showing up

Most dancers who quit in November stopped coming in October. The agent calls after the third missed class, finds out what changed, and offers a fix while there's still time.

When it starts

A dancer marked absent from the same class several weeks running.

What the agent does

Calls the family to check in, learns why, offers a different night or level.

What your team gets

A reason on the dancer's file, a class switch where it helps, and an alert for the owner.

How it works

  1. Watches the attendance

Each week it reads the teachers' attendance. Three misses in a row, or the number you choose, puts the dancer on the call list.

  2. Calls to check in

"We've missed Sophie on Tuesdays and wanted to make sure she's okay." Warm, short, no guilt about tuition.

  3. Listens for the real reason

Hockey moved to Tuesdays, she's shy since the new girls joined, the class feels too hard. Each one has a different fix.

  4. Offers a fix

The same style on another night, a level that fits, or a private lesson to catch up on the recital dance.

  5. Tells the owner

A dancer who's unhappy with a teacher or a classmate goes to the studio owner, with the parent's own words.

  6. Lets go gracefully

A family that's done is thanked and asked if the studio can call in the spring. Their answer is kept on file.

Example call

  1. AI agentHi, is this Ms. Tran? It's Emma from Riverbend Dance. We've missed Sophie in Tuesday jazz the last few weeks and wanted to check she's okay.
  2. CustomerOh, she's fine. Swimming moved to Tuesdays and we just haven't sorted it out.
  3. AI agentThat makes sense. There's a Junior Jazz class Thursdays at 5:30 at her level, with the same teacher, Ms. Abara. Would that night work better?
  4. CustomerThursday would actually be perfect.
  5. AI agentI'll move her to Thursdays starting this week. The class is learning the same recital dance, so she won't fall behind. I'll text you the change.
  6. CustomerThank you, that's a relief.

After the call: Sophie moves from Tuesday to Thursday Junior Jazz, Ms. Abara gets a note she's coming back, and the file shows "swimming moved to Tuesdays" as the reason for the missed classes.

What your team gets

  • Dancers at risk of quitting called while there's still time
  • Class switches made on the call when a night stopped working
  • The reason for missed classes on every dancer's file
  • Unhappy-dancer alerts for the studio owner, in the parent's words
  • A monthly count of dancers saved and dancers lost
Set up with you: The team sets up a connection to your attendance and class rosters in Jackrabbit, iClassPro or DanceStudio-Pro, and sets with you how many misses trigger a call and which reasons go to the owner.

Questions

Won't parents feel watched?

The call is a check-in, not a reminder about fees. Most parents are glad someone noticed.

What if the dancer is sick or injured?

It wishes them well, notes it, and offers to book a private to catch up on the recital dance when they're back.

Does it bring up money?

No. Tuition questions go to the front desk.

Can it switch a class on the call?

Yes, into any class with room at the same level, and the teacher is told.
