Inbound: the customer calls

Recital, costume and photo day questions

From April to June the same twenty questions come in a hundred times. The agent answers each one from your recital plan, checks the dancer's costume order, and the front desk gets its spring back.

When it starts

A parent calls about the recital, photo day, rehearsal or a costume.

What the agent does

Answers from your recital plan for that dancer's class, and checks their costume order.

What your team gets

Fewer repeat calls at the desk, and costume pickups booked when they arrive.

How it works

  1. Finds the dancer's class

By the parent's phone number or the dancer's name, so the answer fits her class, not the whole studio.

  2. Answers for that class

Photo day time, which show they're in, dress rehearsal call time, and the order of the dances.

  3. Reads the costume list

Tights colour, shoes, hair and makeup for each number, as the teacher wrote it.

  4. Checks the costume

Whether the costume has arrived, what size was ordered, and when it can be picked up.

  5. Handles tickets

Show times, how tickets are sold and the prices you set. A ticket link is texted when the family wants it.

  6. Texts the details

Everything for that dancer in one text, so the parent isn't calling back on Thursday.

Example call

  1. CustomerHi, when is photo day for Chloé's Saturday pre-ballet class? And does she need tights for the costume?
  2. AI agentPre-ballet photos are Saturday, May 10 at 9:45, in costume with hair in a bun. She needs pink ballet tights and pink slippers.
  3. CustomerHas her costume come in?
  4. AI agentIt has. Size small child, the lilac tutu. You can pick it up at the desk any day after 4. Want me to text you all of this?
  5. CustomerYes please. And which show is she in?
  6. AI agentThe 1 o'clock show on Sunday, June 8, with dress rehearsal Thursday at 5:30. I'll put that in the text too.

After the call: Chloé's family has one text with photo day, the tights and shoes, costume pickup, show time and rehearsal, and her costume is marked "family told, pickup this week".

What your team gets

  • Recital questions answered per class from your recital plan
  • Costume arrival and size checked for each dancer
  • Costume pickups marked when the family is told
  • One text per family with everything for their dancer
  • A list of questions the plan didn't answer, so you can add them
Set up with you: The team loads your recital plan, show order, dress codes and ticket details each spring, and sets up a connection to your costume orders and class rosters in Jackrabbit, iClassPro or DanceStudio-Pro.

Questions

Does it know which show my dancer is in?

Yes. It finds the dancer's classes and reads the show and dance order for each one.

What if a costume is the wrong size?

It notes the problem and sends it to whoever handles costumes, with the size ordered and the dancer's name.

Can it sell recital tickets?

It explains how tickets are sold and texts your ticket link. Prices are the ones you set.

What about a dancer in four numbers?

It lists each number's tights, shoes and hair, so nothing is missed on show day.
