Inbound: the customer calls

Membership freezes for injury and travel

A member who can't freeze usually cancels. The agent takes the hold request under your rules, sets the return date, and books the first class back so the student comes back on time.

When it starts

A member calls about an injury, a trip, exams or a tight month.

What the agent does

Reads your hold rules, sets the freeze dates, and books the first class back.

What your team gets

A hold set under your agreement, with the return class booked and the owner told.

How it works

  1. Hears the reason

A broken wrist, a month in the Philippines, university exams, a new baby. Each one is noted in the member's words.

  2. Reads your hold rules

How long a freeze can last, any hold fee you charge, and what notice you ask for, from your membership agreement.

  3. Sets the dates

The freeze start and end, so billing pauses and restarts on the dates the member agreed to.

  4. Books the return

The first class back, with the instructor told the student is returning from an injury or a trip.

  5. Offers a lighter option

Where you have one, a once-a-week plan for a member who's short on time rather than a full freeze.

  6. Sends cancellations to the owner

A member who wants to cancel instead goes to the owner with the reason, never argued with on the call.

Example call

  1. CustomerHi, it's Hannah Kowal. I broke my wrist skiing and I can't train for six weeks. Can I pause my membership?
  2. AI agentOuch, I'm sorry, Hannah. Yes, injury holds are up to three months with no fee. Want the hold to start today?
  3. CustomerYes please.
  4. AI agentDone. Your membership is on hold from today to December 5. Want me to book your first class back for that week, so it's on the calendar?
  5. CustomerSure, the Saturday morning class.
  6. AI agentYou're in Saturday, December 6 at 10. I'll let Sensei Martin know you're coming back from a wrist injury, and you can always move it if the cast stays on longer.

After the call: Hannah's membership shows a no-fee injury hold to December 5, billing restarts the next day, and Sensei Martin has a note about her wrist for the December 6 class.

What your team gets

  • Holds set under your agreement, with start and end dates
  • Billing paused and restarted on the agreed dates
  • First class back booked before the hold starts
  • Instructors told about returning injuries
  • Cancellation requests sent to the owner with the reason
Set up with you: The team loads your hold and cancellation rules, and sets up a connection to your memberships and billing in Zen Planner, Kicksite or Spark Membership so holds and return dates land on the member's account.

Questions

Will it cancel a membership?

No. It sends cancellation requests to the owner with the reason, and the owner handles it under your agreement.

Can it charge a hold fee?

It applies the hold fee your agreement sets, if any, and tells the member before it confirms.

Does it need a doctor's note?

If your rules ask for one, it tells the member and the front desk follows up.

What if they want to come back early?

They call, and it ends the hold and books the class.
