Calls when a student misses two weeks of class
Students rarely cancel from the mat. They stop coming, then they cancel. The agent calls after two quiet weeks, and most of the time a schedule change or a nudge gets them back.
A member with no check-ins for the number of days you set.
Calls to check in, learns why, books them back into a class that fits now.
Members back on the mat, a reason on file, and an alert when it's something the instructor should handle.
How it works
- Watches check-ins
Each morning it reads attendance. A member with no check-in for 14 days, or your number, goes on the list.
- Calls like the dojo would
"We've missed you in the 7 o'clock class." Warm, short, never about the contract.
- Finds out what changed
A new shift at work, a sore knee, exams, a kid who's lost interest after a tough sparring class.
- Books them back
A class time that fits the new schedule, and a text. A sore knee gets the instructor's note, not advice.
- Flags the instructor
A child who's upset about something at class, or an adult thinking of leaving, goes to the head instructor.
- Counts who came back
Members called, rebooked and back on the mat, so the owner sees the cancellations that didn't happen.
Example call
- AI agentHi Kyle, it's Emma from Iron Lotus BJJ. We've missed you in the evening fundamentals class. Everything okay?
- CustomerYeah, I got moved to late shifts. I can't make 7 anymore.
- AI agentThat's a tough change. There's a noon class Monday, Wednesday and Friday, same fundamentals with Coach Ana. Would that fit?
- CustomerNoon could work on Wednesdays.
- AI agentI'll put you in Wednesday at noon this week, and I'll let Coach Ana know you're switching. I'll text you a reminder Wednesday morning.
- CustomerThanks. I didn't want to stop.
After the call: Kyle is booked for Wednesday noon fundamentals, Coach Ana knows about the late shifts, and his record shows "shift change" as the reason for the gap.
What your team gets

Questions
Does it mention the contract or fees?
No. It's a check-in. Billing questions go to the front desk.
What if they're injured?
It wishes them well, notes the injury for the instructor, and asks when to check in again.
Does it call kids or parents?
For students under 18 it calls the parent on file.
What if they want to cancel?
It notes the request and sends it to the owner, who handles cancellations under your agreement.
