Inbound: the customer calls

Belt grading sign-ups and requirements

"When is the next belt test and do we need to sign up?" comes in every grading week. The agent answers from your calendar, checks the student is on the instructor's list, and signs them up.

When it starts

A student or parent calls about the next grading.

What the agent does

Gives the date and deadline, checks the instructor's approved list, signs the student up.

What your team gets

A grading list that matches the instructor's approvals, with fees and forms tracked.

How it works

  1. Finds the student

By name or the parent's phone, with their current belt and the program they train in.

  2. Gives the grading details

The date, the time for their belt group, the sign-up deadline and the grading fee you set.

  3. Checks the approved list

Only students the instructor has approved to test are signed up. Readiness is always the instructor's call.

  4. Reads the requirements

Classes logged since the last grading, the kata or techniques for that belt, and what to wear.

  5. Signs them up

Adds the student to the grading list and texts the payment link and the requirements.

  6. Handles the disappointed

A student who isn't on the list hears it kindly, and the instructor gets a note to talk with them at the next class.

What your team gets

  • Grading lists that match the instructor's approvals
  • Fees and deadlines tracked per student
  • Requirements texted for each belt
  • Notes to the instructor for students who aren't on the list
  • Fewer grading questions at the end of class
Set up with you: The team loads your belt system, grading calendar and fees, and sets up a connection to your member records and attendance in Zen Planner, Kicksite or Spark Membership so the agent sees ranks, logged classes and the approved list.

Questions

Will it tell a student they're ready to test?

Never. It reads the instructor's approved list. Readiness is the instructor's decision.

Can it tell a student how many classes they've logged?

Yes, from your attendance. It can say how many more the requirement asks for.

Does it take the grading fee?

It texts your payment link, or notes that the fee is paid at the desk.

What about adult gradings in jiu-jitsu?

It follows your system, whether that's stripes, belt promotions at class or formal gradings.
