Outbound: the agent calls

After-trial calls that turn visits into members

A trial that gets no follow-up is a sale left on the mat. The agent calls the next day while the kid is still talking about it, books the sign-up chat, and gives no-shows a second chance.

When it starts

A trial class finished yesterday, or a trial student who didn't show.

What the agent does

Calls to hear how it went, answers questions, books a sign-up visit or a new trial.

What your team gets

A sign-up visit with the instructor, or a rebooked trial, and the family's answers on file.

How it works

  1. Calls the next day

In the afternoon after the trial, inside the calling hours you set. Trial no-shows get a call 30 minutes after class ends.

  2. Asks how it went

"What did Arjun think?" Then it listens. A kid who loved the pad drills is a different call from one who was nervous.

  3. Answers the membership questions

Classes per week, the uniform, and the membership options and prices you've chosen to share.

  4. Books the sign-up visit

A time to meet the instructor before or after class to sign up, so the conversation about price happens in person.

  5. Rebooks the no-shows

"No worries, life happens." Two new trial times and a text. No guilt.

  6. Tells the instructor

What the family said, what they're worried about, and when they're coming in.

Example call

  1. AI agentHi Deepa, it's Emma from Northshore Karate. I wanted to see how Arjun found his class last night.
  2. CustomerHonestly, he loved it. He talked about it the whole drive home.
  3. AI agentThat's so good to hear. Sensei Martin said he did really well with the partner drills. Would you like to come in before Tuesday's class to talk about joining?
  4. CustomerYes. What does he need to buy?
  5. AI agentJust a uniform, which you'd get at the sign-up visit. Sensei Martin will go through the memberships with you then. I have Tuesday at 4:45 or Thursday at 4:45.
  6. CustomerTuesday at 4:45.
  7. AI agentBooked. I'll text you a reminder Tuesday morning. Tell Arjun we'll see him then.

After the call: Sensei Martin has a Tuesday 4:45 sign-up visit with "loved it, talked about it the whole way home" in the notes, and Deepa gets a reminder text Tuesday morning.

Questions

Will it push the family to sign up?

No. It asks how the trial went and offers a time to talk with the instructor. If they're not interested, it thanks them and lets them go.

Can it sign them up on the call?

If you want it to, it texts your sign-up link. Most schools prefer the visit.

What if the kid didn't like it?

It asks what didn't feel right and passes it to the instructor, who may suggest a different class.

How many times does it call?

Once after the trial, and once more if there's no answer, with a text. You choose the schedule.
