Inbound: the customer calls

Trial classes booked while instructors teach

From 4 to 9 the instructors are the front desk, and they're on the mat. The agent picks up every call, finds the right program for the student, and books a trial before the parent tries the next school on the list.

When it starts

A parent or adult calls about starting classes, usually while class is running.

What the agent does

Explains the programs, asks age and experience, books a trial class with what to wear.

What your team gets

A trial student on the class list, and a note for the instructor about why they came.

How it works

  1. Picks up during class

Little Dragons at 4:30, kids' karate at 5:15, adult jiu-jitsu at 7. Nobody steps off the mat to grab the phone.

  2. Finds out who's training

Age, any past training, and what brought them in: fitness, self-defence, focus at school, or a friend who trains.

  3. Explains the right program

Age groups, gi and no-gi, how often classes run, and what a first class looks like, from your program details.

  4. Books the trial

Two trial times in the right program, and a text with the address, parking and what to wear.

  5. Passes on what matters

"Shy, being picked on at school" or "old shoulder injury" goes to the instructor before class, in the caller's own words.

  6. Hands off the sensitive ones

A parent asking whether the program fits a child with extra needs is warm-transferred to the head instructor.

Example call

  1. CustomerHi. My son's having a hard time at school and I think karate might help his confidence. He's nine.
  2. AI agentI'm sorry he's having a rough time. A lot of parents bring their kids in for exactly that. Has he done any martial arts before?
  3. CustomerNo, nothing. He's pretty shy.
  4. AI agentThat's okay, the kids' beginner class starts from zero. It's Tuesdays and Thursdays at 5:15. Would you like him to try one this week?
  5. CustomerThursday, I think.
  6. AI agentCan I have his name and yours?
  7. CustomerHe's Arjun, I'm Deepa Patel.
  8. AI agentArjun is booked for a trial Thursday at 5:15. A T-shirt and track pants are fine. I'll let Sensei Martin know he's a little shy, so he'll make him feel welcome. I'll text you the details.

After the call: Thursday's kids' beginner list shows Arjun as a trial with "nine, shy, confidence at school" in the notes, Sensei Martin has a heads-up, and Deepa has a text with the address and what to wear.

Questions

Does it promise what karate will do for a child?

No. It explains the program and books the trial. What a class can do for a child is a conversation with the instructor.

Will it give membership prices?

Only if you want prices given on the phone. Many schools prefer to talk prices after the trial, and it follows your choice.

Can it book adults and kids from the same family?

Yes. It looks for a kids' class and an adult class close together so the family comes in once.

What about an adult with an injury?

It doesn't say whether training is safe. It notes the injury for the instructor and suggests they ask their doctor or physio.
