Outbound: the agent calls

June calls to hold next year's lesson time

The 4:30 weekday slots are the ones everybody wants. The agent calls each current family before summer so they keep theirs, and the slots that open go to the waitlist first.

When it starts

The end of the teaching year, with next year's schedule being built.

What the agent does

Calls each current family, confirms their day, time and teacher for September, and notes changes.

What your team gets

A September schedule mostly filled by June, and a clear list of open slots for new students.

How it works

  1. Calls current families

In June, each family with a student finishing the year. The student's teacher, day and time are read from this year's schedule.

  2. Holds the same time

"Want to keep Tuesdays at 4:30 with Mr. Petrovic?" A yes holds it for September under the student's name.

  3. Handles changes

Moving from a half hour to 45 minutes, adding a sibling, or switching to Saturday. It offers open times that fit.

  4. Sends teacher changes up

A parent who wants a different teacher goes to the program director as a warm transfer, never switched on the call.

  5. Frees the rest

A family that won't be back is thanked, and their slot goes first to families on the waitlist for that teacher.

  6. Reports the year ahead

Kept, changed, leaving and no answer, per teacher, so the director sees next year's numbers in June.
