RCM exam deadlines and recital slot calls
Every spring a few students miss the exam registration deadline and every June someone doesn't know when to arrive for the recital. The agent calls each family before either happens.
An exam registration deadline coming up, or a recital program being finalised.
Calls the families of students the teachers flagged, confirms plans, answers the logistics.
A list of who's registering for which grade, and a recital program with every slot confirmed.
How it works
- Starts from the teachers' list
Teachers mark which students are aiming for an exam session and who's playing in the recital. The agent calls only those families.
- Calls before the deadline
Two weeks before the exam registration closes: the grade the teacher suggested, the session dates and the deadline.
- Leaves readiness to the teacher
Whether a student is ready for Grade 5 is the teacher's call. A worried parent gets a note to the teacher, not an opinion.
- Confirms recital slots
The piece, the time slot, the dress rehearsal and how many tickets they want, checked against the recital plan.
- Answers the logistics
Where to park at the church hall, what to wear, when to arrive, and whether siblings need a ticket.
- Reports to the program director
Who confirmed, who's dropping out, and who hasn't answered after two tries, so the program is right before it prints.
Example call
- AI agentHi, is this Mr. Kaur? It's Emma from Westdale Music. I'm calling about Simran's spring recital slot. Have you got a minute?
- CustomerSure, go ahead.
- AI agentMs. Okafor has her playing "Spinning Song" in the 2 o'clock group on June 7, with dress rehearsal Thursday at 6. Does that still work for your family?
- CustomerYes. Can grandma come? She'd need a ticket.
- AI agentOf course. Tickets are 8 dollars each and students play free. How many would you like set aside?
- CustomerThree, please.
- AI agentThree tickets are held for you at the door. I'll text you the hall address, the rehearsal time and the dress code: concert black, no sneakers.
After the call: Simran's slot shows confirmed in the recital program, three tickets are held under the Kaur family at the door, and the family has a text with the rehearsal time and dress code.
What your team gets
- Exam registrations confirmed by grade before the deadline
- Recital slots, pieces and rehearsal times confirmed family by family
- Ticket counts held at the door
- Parent questions about readiness sent to the right teacher
- A list of families who haven't answered, for the program director
Questions
Does it register students with the exam board?
No. It confirms the family's plan and the deadline, and your office or the family completes the registration.
Will it tell a parent their child is ready?
Never. It passes the question to the teacher, who knows the student's playing.
Can it sell recital tickets?
It holds tickets at the door, or texts your ticket link. The price is the one you set.
What if a family can't make the recital?
It notes it, tells the teacher, and the program director sees the open slot on the report.
