Inbound: the customer calls

Sick-day cancellations and makeup lessons

A parent calls at 2 about a fever. The lesson is cancelled, the teacher knows before 4, and the makeup is booked under your policy, not argued over at the desk.

When it starts

A family calls to cancel a lesson, move one, or ask for a makeup.

What the agent does

Checks the notice given and makeups used, then books a makeup slot or explains the policy kindly.

What your team gets

The teacher's day updated, the makeup booked, and the policy applied the same way every time.

How it works

  1. Finds the lesson

By the student's name or the parent's phone number, and confirms which lesson: piano with Mr. Novak, Wednesday at 5.

  2. Checks your policy

How much notice was given and how many makeups the student has used this term, against the rules you wrote.

  3. Offers the makeup

Open makeup slots that match the instrument and level, with the same teacher where possible. Two times, then a text.

  4. Explains when it can't

A same-day cancel past your cut-off hears the policy warmly and plainly, and the front desk gets a note if the family wants an exception.

  5. Tells the teacher

A text the moment the lesson is cancelled, so the teacher can use the half hour or go home early.

  6. Tracks the term

Makeups used and owed per student, so the end-of-term count matches what families were told.

Example call

  1. CustomerHi, it's Mei Chen. Ethan has a fever, he can't make piano at 5 today.
  2. AI agentOh, poor guy. I'll cancel today's lesson with Mr. Novak. You gave us more than three hours' notice, so he gets a makeup. Want to book it now?
  3. CustomerYes, please. Next week is better.
  4. AI agentMr. Novak has a makeup slot next Monday at 6:15, or there's Saturday at 9:30 with Ms. Ferreira, who also teaches his level. Which works?
  5. CustomerMonday with Mr. Novak.
  6. AI agentDone. Ethan's makeup is Monday at 6:15 with Mr. Novak. That's his first makeup this term. I'll text you the time. Hope he feels better soon.

After the call: Today's 5:00 lesson is cancelled and Mr. Novak was texted at 2:07. Monday 6:15 shows Ethan's makeup, and his file shows one of two makeups used this term.

What your team gets

  • Cancellations marked on the teacher's day with the time of the call
  • Makeups booked into the slots you set aside, by instrument and level
  • Makeups used and owed per student, per term
  • Teachers texted the moment a lesson is cancelled
  • Exception requests sent to the front desk with the family's reason
Set up with you: The team writes your cancellation and makeup policy into the agent, sets up a connection to your teachers' calendars and student accounts in My Music Staff or Duet, and marks which slots are open for makeups.

Questions

Will it bend the policy if a parent pushes?

No. It explains your rule kindly and sends the request to the front desk, who can make an exception if they choose.

Can it move a lesson for a school concert?

Yes, if your policy allows swaps with notice. It finds an open time that week with the same teacher.

What about a teacher who's sick?

The front desk marks the teacher out, and the agent calls or texts that day's families with a makeup time.

Does it handle virtual lessons?

If the teacher offers them, it can switch a lesson to online for a student who's home with a cold, and text the link.
