Inbound: the customer calls

Rental instruments sized and reserved

"What size violin does a seven-year-old need?" is the call every music school gets in September. The agent answers it, checks the rental shelf, and holds the instrument for pickup.

When it starts

A family calls about renting an instrument, swapping a size or returning one.

What the agent does

Checks what's in stock by size, reserves it, and reads the rental terms your school set.

What your team gets

A reserved instrument with the student's name, a pickup time and the rental agreement ready.

How it works

  1. Learns who it's for

The student's age and height, the instrument, and who their teacher is. A size the teacher already measured is taken from the student's file.

  2. Checks the rental shelf

Sees which quarter, half and three-quarter violins, cellos and guitars are free right now, and which are out for repair.

  3. Reserves one

Holds the instrument under the student's name with a pickup time at the front desk, and tells the teacher it's coming to the next lesson.

  4. Reads the terms

Monthly rate, how much of the rent goes toward buying, and the damage cover, all from your rental sheet. Nothing it hasn't been given.

  5. Handles size swaps

A student who's grown into a full-size violin gets the next size held, and the old one is marked to come back.

  6. Texts the details

Pickup time, what to sign at the desk, and a reminder to bring the old instrument when it's a swap.

Example call

  1. CustomerHi, my daughter Ava starts violin with Mr. Haddad next week. She's seven. What size does she need?
  2. AI agentMost seven-year-olds start on a quarter size, and Mr. Haddad will check the fit at her first lesson. We have two quarter-size violins free right now. Would you like one held for her?
  3. CustomerYes please. How much is it?
  4. AI agentOur quarter-size rental is 22 dollars a month, and half of what you pay goes toward buying one later if she sticks with it. Can you pick it up Saturday morning?
  5. CustomerSaturday works.
  6. AI agentIt's held for Ava, ready at the front desk from 9 on Saturday. I'll text you the details, and Mr. Haddad will know she's bringing it to her first lesson.

After the call: A quarter-size violin is marked reserved for Ava with Saturday pickup, the rental agreement is ready at the desk, and Mr. Haddad has a note that she'll have it at her first lesson.

What your team gets

  • Rental instruments reserved by size under the student's name
  • Size swaps lined up, with the outgrown instrument marked to return
  • Teachers told when a student is bringing a rental
  • Rental terms read exactly as your sheet says them
  • A list of instruments out, due back or in repair
Set up with you: The team loads your rental terms and sizing guide, and sets up a connection to your rental inventory and family accounts in My Music Staff or the rental sheet you keep, so the agent sees what's on the shelf by size.

Questions

Does it measure the child?

No. It gives the usual size for the child's age and height from your guide, and the teacher checks the fit at the lesson.

Can it take the rental payment?

It texts the payment link your school uses, or tells the family to pay at the desk at pickup.

What if nothing is in stock in that size?

It says so, puts the student on the rental waitlist, and tells the front desk so they can order or move one back from repair.

Can families return an instrument by phone?

It books a drop-off time at the desk and notes it on the rental, so nobody is surprised when the case shows up.
