Inbound: the customer calls

Late pickups and absences sent to counsellors

At 3:55 the director is at the waterfront and every counsellor has a group. A parent stuck on the 401 reaches someone who logs it, explains the late fee, and tells the counsellor before the kids line up.

When it starts

A parent calls about a late pickup, an absence or an early pickup.

What the agent does

Logs the time and reason, explains your policy, texts the director and the camper's counsellors.

What your team gets

Counsellors who know before pickup, and a log the office can trust.

How it works

  1. Finds the camper

By the parent's phone number, with the camper's group and counsellor for this week.

  2. Logs the change

Late by twenty minutes, home sick today, early pickup at 1 for the dentist. With the time of the call.

  3. Explains your policy

Late pickup after 4:15, the fee your camp charges, and where the camper waits. Read as you wrote it.

  4. Checks who's picking up

Someone not on the authorized list is noted, and the parent is told that person needs to be added and bring ID.

  5. Tells the counsellors

A text to the camper's counsellors and the director the moment the call ends.

  6. Sends worries up

A parent worried about their child's safety or behaviour at camp is warm-transferred to the camp director.

Example call

  1. CustomerHi, I'm running late for pickup, maybe twenty minutes. It's Priya Sharma, my son is Dev in the Otters.
  2. AI agentThanks for calling, Priya. I've noted you'll be about twenty minutes late for Dev. Late pickup starts at 4:15 and he'll wait with a counsellor at the front office.
  3. CustomerIs there a fee?
  4. AI agentIt's 1 dollar a minute after 4:15, so about 5 dollars today if you're here by 4:20. Who's picking him up?
  5. CustomerMe. I'm stuck on the 401.
  6. AI agentNo problem. I've let his counsellor Maya and the director know. Drive safely, he'll be waiting at the front.

After the call: Maya and the director got a text at 3:52 saying Dev's mother is about twenty minutes late, the late pickup log shows the time of the call, and Dev waits at the front office at 4:00.

Questions

Will it release a child to someone new?

No. Release happens at the gate under your rules. It tells the parent who isn't on the list how to add them.

Does it text the counsellor or the director?

Both, or whoever you choose, with the camper's name and the change.

What if a parent is upset about something at camp?

Safety or behaviour concerns are warm-transferred to the camp director, or sent by text and email if they're on the site.

Can it take an absence the night before?

Yes. Any hour, and the counsellor sees it in the morning.
