Outbound: the agent calls

Missing health and swim forms chased before day one

Every Monday in July someone is at the gate without a signed health form. The agent calls those families two weeks before their week, says exactly what's missing, and texts the link.

When it starts

A camper's week starts in two weeks and forms or a balance are still outstanding.

What the agent does

Calls the family, names what's missing, texts the links, notes when they'll finish.

What your team gets

Complete files before drop-off, and a short list for the office of who still needs a nudge.

How it works

  1. Builds the list

Each morning: campers starting in 14 days with a missing health form, swim consent, photo permission, pickup list or balance.

  2. Calls the family

"Owen and Grace start on July 21, and we're missing their swim consent." One call for every child in the family.

  3. Names exactly what's missing

Not "some forms": the swim consent for Grace and the authorized pickup list for both.

  4. Texts the links

The form links and the balance owing from your registration, so the parent can finish from the couch.

  5. Adds pickup names

A grandparent who'll pick up on Wednesdays can be added to the authorized list on the call, with photo ID needed at the gate.

  6. Flags the stragglers

Anyone still missing forms three days out goes to the office with the call history.

Example call

  1. AI agentHi, it's Emma from Camp Tamarack. Owen and Grace start with us July 21, and I wanted to make sure you're all set. Have you got a minute?
  2. CustomerSure. Did I forget something?
  3. AI agentJust two things: the swim consent for both kids, and the list of who can pick them up. I can text you the swim form now.
  4. CustomerOkay. And their grandma picks up on Wednesdays.
  5. AI agentWhat's her full name?
  6. CustomerCarol Whitford.
  7. AI agentCarol Whitford is on the pickup list for both. She'll need photo ID at the gate the first time. I'll text you the swim form now.

After the call: Carol Whitford is on the authorized pickup list for both twins, the family has the swim consent link by text, and the twins drop off the office's missing-forms list once it's signed.

What your team gets

  • Missing forms named and sent two weeks before each week
  • Balances owing texted with the payment link
  • Authorized pickup names added on the call
  • A short list of campers still missing forms three days out
  • Fewer families turned back at the gate on Monday
Set up with you: The team sets up a connection to your camper forms, payments and pickup lists in CampBrain, CampMinder or UltraCamp, and sets which forms are required and when the calls go out.

Questions

Can it fill in the health form for the parent?

No. It texts the form so the parent completes and signs it. It can take pickup names on the call.

Does it chase payments?

It tells the family the balance from your records and texts the payment link. It never argues about it.

What if a form is filled in wrong?

Your office marks it, and the agent calls with exactly what needs fixing.

Who is allowed on the pickup list?

Whoever the parent names. Your gate staff check photo ID as your rules say.
