Outbound: the agent calls

Waitlist calls when a camp week opens up

A cancellation in May is a spot somebody on your waitlist would grab. The agent calls them in order the moment it opens, and the week stays full.

When it starts

A camper cancels or moves out of a week with a waitlist.

What the agent does

Calls the next family in order, offers the spot, registers them on the call.

What your team gets

Full weeks, a waitlist that moves fairly, and every offer logged.

How it works

  1. Sees the opening

The moment a registration is cancelled, the week and age group with a free space.

  2. Calls in order

The next family on that week's list, by the time they asked. Siblings waiting as a pair wait for two spaces.

  3. Offers it clearly

The week, the age group, the fee and how long the offer stays open.

  4. Registers on the call

A yes registers the camper, sends the payment link, and removes them from the waitlist.

  5. Moves on if no answer

A voicemail and a text with a deadline. If the time passes, the next family is called.

  6. Logs every offer

Who was offered which spot, when, and what they said, so the office can answer any "why not me?"

Example call

  1. AI agentHi, is this Mr. Haddad? It's Emma from Camp Tamarack. A spot just opened in the July 7 week for ages six and seven, and Layla is first on the waitlist. Would you like it?
  2. CustomerReally? Yes, absolutely.
  3. AI agentWonderful. Same as before, day camp with after-camp care until 5:30?
  4. CustomerYes, that's right.
  5. AI agentLayla's registered for July 7 with after-camp care. I'll text you the payment link now. The spot is held for 48 hours while you pay.

After the call: Layla moves from the waitlist into the July 7 roster with after-camp care, the payment link is sent with a 48-hour hold, and the waitlist log shows the offer accepted at the time of the call.

What your team gets

  • Cancelled spots offered within minutes
  • Waitlists that move in the order families asked
  • Registrations made on the call, with payment links
  • Offer deadlines tracked, with the next family called
  • A log of every offer and answer
Set up with you: The team sets up a connection to your registrations and waitlists in CampBrain, CampMinder or UltraCamp, and sets with your registration office how long an offer stays open and the calling hours.

Questions

How long does a family have to accept?

As long as you set. Many camps give a few hours on the call and 48 hours to pay.

What about twins waiting together?

They're only offered spots when two open in the same week.

Does it call during the summer too?

Yes. A drop in August is offered to the next family on that week's list.

Can families take themselves off?

Yes. A family that's found another camp is removed, and the next one moves up.
