Registration day calls, answered by week and age
The most popular weeks fill in days, and on opening morning a small office can take one call at a time. The agent takes all of them, registers campers into weeks with room, and turns full weeks into a fair waitlist instead of a busy signal.
Registration opens, and many parents call in the same hour.
Checks spaces by week and age group, registers campers, and waitlists the full weeks.
Registrations in the order they came, a clean waitlist, and payment links sent.
How it works
- Takes every call at once
On opening morning, as many calls as come in. Each family is answered in the order they rang.
- Sorts by age and week
The camper's age on your cut-off date and the weeks the family wants, from Junior Adventurers to Leaders in Training.
- Checks the spaces
Sees how many places are left in each week for that age group before it promises one.
- Keeps siblings together
Two kids in different age groups are placed in the same weeks where there's room, so the family has one drop-off.
- Waitlists the full weeks
A full week becomes a waitlist place with the time of the call, and the family hears where they stand.
- Sends the next steps
A text with the weeks booked, extended care, the payment link and the forms to fill in before June.
Example call
- CustomerHi, are there any spots left in the July 14 week for eight-year-olds? I have twins.
- AI agentThat week has one space left for ages eight to ten, so I can't fit both. July 21 has room for two. Would that work, or would you like to wait for the 14th?
- CustomerThey have to go together. The 21st, then. Can you put us on the list for the 14th too?
- AI agentYes. I'll register both for July 21 and add them to the July 14 waitlist as a pair. Can I have their names and birth dates?
- CustomerOwen and Grace Whitford, May 3, 2018.
- AI agentThank you. Will you need morning or after-camp extended care?
- CustomerMorning, from 8.
- AI agentOwen and Grace are registered for July 21 with morning care and waitlisted together for July 14. I'll text you the payment link and the health forms now.
After the call: Both twins show in the July 21 roster with morning care, the July 14 waitlist has them as a pair with the time of the call, and the parent has a text with the payment link and forms.

Questions
Will it hold a spot without payment?
Only if your rules say so. Many camps hold a registration for 48 hours while the payment link is open, and it follows yours.
Can it answer fee questions?
From your fee sheet: the weekly fee, extended care, sibling discounts and any subsidy program you run.
What if two parents want the last spot?
The first caller gets it. The second hears that honestly and goes to the top of the waitlist.
Does it register overnight campers too?
Yes, by session and cabin age group, with the same health intake.
