Outbound: the agent calls

Replacement calls when aids reach their funding cycle

A patient's aids reach five years old, the warranty is done and the funding they used may be open to them again. The agent calls, explains it simply, and books a fresh test.

When it starts

A patient's aids pass the age you set, the warranty ends, or their funding cycle comes around.

What the agent does

Calls with the reason, books an updated hearing test and a consultation.

What your team gets

Booked tests from your own patients, with the age of their aids and their funding noted.

How it works

  1. Finds the patients

Aids past the age you choose, warranties ending in the next few months, and patients whose funding program may allow a new pair.

  2. Calls with a reason

"Your aids are about five years old and the warranty ended in June." Plain facts from the file, not a sales pitch.

  3. Explains the funding simply

The programs you list and how often they usually help. It never promises the patient qualifies; your staff confirm that.

  4. Books the test

An updated hearing test, then time to look at new aids with the clinician. Family members are welcome, and it says so.

  5. Hears a not-yet

Happy with the current pair? It notes when to check back and books a clean and check instead, if they'd like.

  6. Reports the list

Patients called, tests booked, and who asked to wait, for your clinic manager.

Example call

  1. AI agentHi Mrs. Tanaka, it's Emma from Valley Hearing in Kelowna. Is this an okay time? It's about your hearing aids. They're about five years old now.
  2. CustomerFive years! They still work, mostly. The right one's been fussy.
  3. AI agentThat happens as they age. Your warranty ended in the spring, and the program that helped with your last pair may be able to help again. Our staff can check that with you.
  4. CustomerOh, that's good to know. What would I need to do?
  5. AI agentStart with an updated hearing test with Daniel, then look at options together. He has Wednesday at 10:30. Would you like someone to come with you?
  6. CustomerMy daughter will. Wednesday is fine.
  7. AI agentWednesday at 10:30 in the morning, with Daniel. Wednesday, 10:30. I'll text it to you, and bring your current aids so he can check the fussy one too.

After the call: Daniel's Wednesday shows an updated test and consultation for Mrs. Tanaka, with "right aid fussy, daughter coming, funding to confirm" on the visit. Staff have a task to check her funding before she arrives.

What your team gets

  • Updated tests booked from your existing patients
  • Aid age, warranty and funding notes on each booking
  • A task for staff to confirm funding before the visit
  • Clean and check visits for patients not ready to replace
  • A replacement list report for the clinic manager
Set up with you: The team sets up a connection to your clinic software for device dates, warranties and funding records, and sets with your manager which patients get the call and when.

Questions

Will it tell patients they qualify for funding?

No. It says the program may be able to help again and that your staff will check. The program and your team decide.

Does it push a new pair?

No. It calls with the facts on their file and books a test. If they're happy, it lets them be and notes when to check back.

Can it include a family member?

Yes. It suggests bringing someone and can text the time to them as well.
