Open visits offered to available PSWs by phone
Filling a sick call used to mean a coordinator working down a phone list at 6 a.m. Now the agent calls the caregivers who fit, in your order, and the coordinator only hears the answer.
A visit has no caregiver: a sick call, a new client, or a change in the care plan.
Calls free, nearby PSWs, offers the visit, books the first yes on the schedule.
The visit filled on the schedule, or an alert when nobody can take it.
How it works
- Builds the shortlist
Caregivers who are free at that time, close by, have the right skills, and ideally have worked with this client before.
- Calls in your order
Familiar caregivers first, then nearest, then anyone on the list. A text goes out with each call so they can answer either way.
- Gives the facts
Client first name and area, the time, the tasks, and anything on the file the caregiver needs to know before saying yes.
- Books the yes
Assigns the visit on the schedule and texts the address and care notes to the caregiver who accepted.
- Tells the family
A short call or text to the family: who's coming instead, and when.
- Escalates if stuck
If nobody accepts by the time you set, the coordinator gets a call with who was tried and what they said.
Example call
- AI agentHi Grace, it's Emma from Grand River Home Care. We have an open visit this morning. Are you able to hear about it?
- CustomerSure, what is it?
- AI agentMr. Dubois in Paris, 7 to 9, bath and breakfast. You covered him in August. It's about 10 minutes from your 9:30 client.
- CustomerOh, I remember him. I can do it if I leave now.
- AI agentThank you, Grace. It's on your schedule, and I'm texting you the address and his care notes. I'll let his son know you're coming.
After the call: Grace is assigned the 7 a.m. visit, the son got a text that Grace is coming instead of Jasleen, and Kevin sees the visit filled without making a call. Three other open visits are still being offered.
What your team gets
- Uncovered visits filled without a coordinator working the phone list
- Caregivers who know the client asked first
- Families told who's coming instead
- An alert when a visit can't be filled, with everyone tried
- Fill time and missed visits tracked week to week
Questions
Does it call caregivers who are on a day off?
Only if you allow it. Most agencies call available caregivers first and days off only for urgent visits.
Can it match skills, like a lift or a catheter?
Yes. It only offers a visit to caregivers whose skills on file match the tasks on that visit.
What if two say yes?
The first to accept gets it. The second hears it was filled, thanks them, and is offered any other open visit nearby.
