Inbound: the customer calls

PSW sick calls taken before the 7 a.m. visit

A PSW wakes up with a fever at 5:40 and has four clients before noon. One call to the agent and scheduling has all four visits, in order, with the first one flagged, before the on-call coordinator's alarm goes off.

When it starts

A caregiver calls to say they can't work a shift, often before dawn.

What the agent does

Confirms who they are, reads their visits, records the reason and when they expect back.

What your team gets

Every uncovered visit, in time order, sent to scheduling at once.

How it works

  1. Knows the caregiver

By their phone number and employee name. It greets them by first name and doesn't make them dial an extension.

  2. Reads their day

Their visits from the schedule, in order, so the caregiver doesn't have to remember client names at 5:40 in the morning.

  3. Takes the details

Which visits they can't do, the reason in a word or two, and when they expect to be back.

  4. Alerts scheduling

The on-call coordinator gets a text with every uncovered visit, the soonest flagged. A visit starting within the hour rings their phone.

  5. Starts the fill

The open visits go straight into the shift-fill calls, so other PSWs hear about them before the first client is waiting.

  6. Keeps the record

The absence is logged for human resources, with the time of the call and the shifts missed.

Example call

  1. CustomerHi, it's Jasleen. I'm sick, I can't do my shift today.
  2. AI agentOh no, I'm sorry, Jasleen. Rest up. I see four visits today: Mr. Dubois at 7, Mrs. Ahmed at 9, Mr. Clarke at 11 and Mrs. Leblanc at 1. Are all four off?
  3. CustomerYes, all of them. I've got a fever.
  4. AI agentUnderstood. Do you think you'll be back tomorrow?
  5. CustomerProbably not. Let's say Thursday.
  6. AI agentI've sent all four visits to Kevin on call, with Mr. Dubois at 7 marked first, and noted you're off until Thursday. Feel better.

After the call: Kevin got a text at 5:42 listing four uncovered visits, Mr. Dubois at 7 flagged, and the shift-fill calls started for all four. Human resources sees the absence through Wednesday.

What your team gets

  • Sick calls taken any hour, without waking a coordinator for the details
  • Every uncovered visit listed in time order
  • The first visit flagged, and a phone call for anything starting within the hour
  • Expected return dates on file
  • Absences logged for human resources
Set up with you: The team sets up a connection to your AlayaCare, GoldCare or ShiftCare caregiver schedules and your on-call rota, and sets who gets the texts, when a sick call rings a phone, and what human resources needs recorded.

Questions

Do caregivers have to give a reason?

Only what you ask for. Most agencies want a word or two and an expected return date, nothing more.

What if the caregiver isn't sure which visits they had?

It reads them their day from the schedule, so they only have to say yes or no to each visit.

Can it take sick calls from nurses too?

Yes. Nursing visits are listed the same way and can go to the nursing supervisor instead of scheduling.
