Inbound: the customer calls

Refills taken by prescription number, before you open

The first hour after opening is a wall of refill calls while the pharmacist is checking the overnight queue. The agent takes every one, lines them up for the dispensary, and texts each patient when it's ready.

When it starts

A patient calls, day or night, to refill a prescription.

What the agent does

Finds the prescription, checks refills left, queues the fill, and sets pickup or delivery.

What your team gets

A clean refill queue with every request, and a text out to the patient when it's filled.

How it works

  1. Finds the prescription

By the Rx number on the label, or by name and date of birth and the medication. It confirms the drug and strength back to the caller.

  2. Checks the refills left

If there are refills on file, the request goes into the queue. If there are none, it says the pharmacy will contact the prescriber and asks which doctor.

  3. Asks pickup or delivery

Pickup at the counter or delivery on your delivery days, with the cut-off time for same-day.

  4. Gives a real ready time

From the dispensary's queue, not a guess. When it's busy, it says so and offers a text instead of a time.

  5. Takes more than one

Patients on several medications often refill them all at once. It takes each one and lines them up together.

  6. Texts when it's done

A text the moment the fill is marked ready, so nobody calls back to ask.

Example call

  1. CustomerHi, I need to refill my metformin and my ramipril. I don't have the bottles with me.
  2. AI agentThat's fine. Can I have your name and date of birth?
  3. CustomerGurpreet Sandhu, April 14th, 1958.
  4. AI agentThank you, Mr. Sandhu. I have metformin 500 milligrams and ramipril 5 milligrams. Both have refills left. Pickup or delivery?
  5. CustomerDelivery, if it can come today.
  6. AI agentToday's delivery cut-off is noon, so you're in time. The driver goes out between 3 and 6. Is the address on file still right, on Hespeler Road?
  7. CustomerYes, same place.
  8. AI agentBoth are in the queue for today's delivery. I'll text you when they're filled and again when the driver is on the way.

After the call: The dispensary queue shows both refills for Mr. Sandhu, marked for the afternoon delivery run. He gets a text when they're checked and another when the driver leaves.

What your team gets

  • Every refill request in the queue with Rx number, drug and strength
  • Refills with none left flagged for a prescriber request
  • Pickup or delivery set on each request
  • Texts when filled and when the driver leaves
  • Fewer calls at the counter in the morning rush
Set up with you: The team sets up a connection to your Kroll, Propel Rx, WinRx, Healthwatch or Ubik dispensary system and your delivery schedule, and sets your delivery days, areas and cut-off times.

Questions

Can it refill a prescription with no refills left?

No. It tells the patient the pharmacy will contact the prescriber, notes which doctor, and the dispensary team takes it from there.

Can it fill early?

Whether a prescription can be filled early is always the pharmacist's decision. It takes the request and flags it for them.

Does it confirm the right patient?

Yes. It matches name and date of birth or the Rx number, and reads the drug and strength back before queuing.

What about a refill at 11 at night?

It takes it, queues it for the morning, and texts the patient when it's ready.
