Inbound: the customer calls

Birthday parties booked by package, slot and headcount

Parents call two or three places and book the first one with an open Saturday. Now that's you, at lunch on a Tuesday or after bedtime on a Sunday, with the party room and pizza sorted on one call.

When it starts

A parent calls about a birthday party, often weeks ahead, often in the evening.

What the agent does

Explains packages, offers open party slots, books the room, adds food and extras, sends the deposit link.

What your team gets

A booked party with child's name and age, headcount, package and food, ready for the party host.

How it works

  1. Asks about the birthday kid

Name, age turning, and what they love. A 6-year-old and a 13-year-old want different parties.

  2. Explains the packages

What each includes: jump or play time, the party room, a host, pizza and drinks, and how many kids are covered, from your package sheet.

  3. Offers open slots

The party slots still free on their date and room, and the next weekend if they're full.

  4. Adds the extras

Extra kids, more pizza, a gluten-free pizza, a cake from your bakery partner, loot bags. Each from your price list.

  5. Holds it with the deposit

The party is booked and the deposit link goes by text, so the slot is held for them.

  6. Sends the party details

Time, room, arrival steps, grip sock rule and the waiver link to forward to the other parents.

Example call

  1. CustomerHi, I want to book a birthday party for my son, twelve kids, next Saturday.
  2. AI agentHappy early birthday to him. What's his name, and how old is he turning?
  3. CustomerLiam, he's turning eight.
  4. AI agentEight is a great age for laser tag and jumping. The Ultimate package covers twelve kids with two rounds of laser tag, an hour of jumping and the party room with two pizzas each table. I have 11 a.m. or 2:30 next Saturday.
  5. Customer2:30. One of the kids is celiac.
  6. AI agentI'll add a gluten-free pizza for one, and note it for the kitchen. I'm texting you the deposit link and the waiver link to send the other parents. What name should I put it under?
  7. CustomerAmanda Clarke.
  8. AI agentThanks, Amanda. Liam's party is booked for next Saturday at 2:30 for twelve. Grip socks are needed for jumping, and they're sold here if anyone forgets.

After the call: Liam's party is in the 2:30 party room on Saturday, twelve kids, Ultimate package, one gluten-free pizza flagged for the kitchen. Amanda pays the deposit that evening and the party host sees it on the weekend sheet.

Questions

Can it book the right room for the group size?

Yes. Each room has its own limit, and it only offers rooms that fit.

What about younger siblings?

It explains your sibling rule, like toddler zone access or an extra-child price, and adds them if the parent wants.

Can it change a party later?

Yes. A parent calling to move the time or add kids gets it changed if the slot and room allow.
