Outbound: the agent calls

Party headcount and unsigned waivers called two days out

The worst party starts are kids standing at the counter while a parent hunts for a waiver. Two days out, the host parent gets a friendly call with the final count and the names still unsigned.

When it starts

A party booked for two days from now.

What the agent does

Confirms the time and final headcount, reads out unsigned waivers, settles food and balance.

What your team gets

An accurate party sheet, the right pizza order, and parties that start on time.

How it works

  1. Builds the list

Every party in the next two days, with the package, room, headcount and food on the booking.

  2. Confirms the time and room

Arrival 15 minutes before, which door, and where parents wait.

  3. Gets the final count

Up or down from the booking. Extra kids are added from your price list, if the room holds them.

  4. Reads the unsigned waivers

From your waiver list, by guest name, so the parent can text those families tonight.

  5. Settles food and the balance

Pizza count, allergies, cake time, and the balance due on the day from the booking.

  6. Updates the party sheet

The host and the kitchen see the new numbers the moment the call ends.

Example call

  1. AI agentHi Amanda, it's Emma from Jump Junction in Barrie. Liam's party is Saturday at 2:30. Do you have a minute to go over the final details?
  2. CustomerYes, good timing. We're up to fourteen kids.
  3. AI agentThat's fine, the room holds sixteen. Two extra kids are 24 dollars each, and I'll add a pizza. Nine of the fourteen have waivers signed. Still missing are Noah, Ava, Ethan, Zoe and Mila.
  4. CustomerI'll chase those parents tonight.
  5. AI agentPerfect. The gluten-free pizza is still on the order. Arrive at 2:15 by the side door, and the balance is paid at the counter on the day.
  6. CustomerGreat, thank you.

After the call: The party sheet shows fourteen kids, an extra pizza and the gluten-free one, and the kitchen sees the change. Four of the five missing waivers are signed by Friday night.

What your team gets

  • Final headcounts on every party before the day
  • Unsigned waiver names read out to the host parent
  • Pizza and allergy changes sent to the kitchen
  • Extra kids added only when the room holds them
  • Fewer late starts at the counter
Set up with you: The team sets up a connection to your party bookings and your waiver system, and sets when the calls go out, what the extra-kid price is and who sees the changes.

Questions

Does it share the waiver list with anyone?

Only with the parent who booked the party, and only the names of their own guests.

Call or text?

Your choice. Many centres text first and call when there's no reply by the evening before.

What if the party is cancelled?

It asks if another date works, moves the party if a slot is open, and tells the manager about the deposit.
