Outbound: the agent calls

Last summer's guests called when the calendar opens

In January, Emma calls last summer's families before the calendar opens to the public. The Lindqvists get their week at Cedar Chalet back, deposit paid, and your peak weeks are half full before a single listing goes live.

When it starts

Next season's calendar opening, or a returning-guest window you set.

What the agent does

Calls past guests, offers their same cottage and week first, books it with a deposit link.

What your team gets

Peak weeks booked by families you already know, before the public sees them.

How it works

  1. Builds the list

Last summer's guests with no damage notes, starting with the ones who've come back more than once.

  2. Calls in the planning season

In January and February evenings, when families sit down to plan the summer.

  3. Offers their week first

The same cottage and week as last year, at the new season's rate, held for them until the date you set.

  4. Offers another if it's changed

A bigger group or new dates? It checks the other cottages and weeks.

  5. Books it

The week goes on the calendar and the deposit link goes out by text, same as any booking.

  6. Opens the rest

Weeks nobody claimed by your date go back on the calendar for the public.

Example call

  1. AI agentHi Sarah, it's Emma from Muskoka Shores. Your family stayed at Cedar Chalet last July. I'm calling past guests before next summer opens to the public. Is now okay?
  2. CustomerOh, nice! Yes, we loved it.
  3. AI agentI'm glad. Your week, July 12 to 19, is open for you until February 1, at this summer's rate of 2,950. Would you like it again?
  4. CustomerYes. Can we stay an extra night this time?
  5. AI agentJuly 19 to 20 is open too, so I can make it July 12 to 20. The extra night is 420.
  6. CustomerPerfect, let's do it.
  7. AI agentDone. I'm texting you the deposit link now, and the week is yours once it's in.

After the call: Cedar Chalet shows booked July 12 to 20 under Lindqvist, the deposit is paid that week, and the calendar marks it as a returning guest.

What your team gets

  • Peak weeks booked by returning families first
  • Same cottage and week offered at the new season's rates
  • Deposits paid before the calendar opens to the public
  • Weeks not claimed by your date released automatically
  • A count of returning guests, year over year
Set up with you: The team sets up a connection to your rental calendar and guest history, sets the new season's rates, the returning-guest window and who to call, and the calling hours.

Questions

Who gets called?

The guests you pick: everyone from last summer, only those without damage notes, or only those who've stayed twice.

What if they don't answer?

A short voicemail and a text with their week and the hold date. One more try before the hold ends.

Does it lower the rate?

No. It offers the new season's rate as you've set it. Any returning-guest discount is yours to add.
