Room calls sent to housekeeping and maintenance
Room 214 calls at 10:40 at night: the heat isn't working. Emma opens a work order for the night engineer, tells the guest when someone will knock, and the desk agent keeps checking in the late arrivals.
A guest staying with you calls with a request or a problem.
Confirms the room, sends requests to housekeeping, opens maintenance work orders, warm-transfers urgent ones.
A ticket in the right department with the room and the problem, and the front desk free.
How it works
- Confirms the room
Room number and the name on the reservation, so the request goes to the right door.
- Sorts the request
Towels, a crib, an iron: housekeeping. No heat, a running toilet, a TV that won't turn on: maintenance. A noisy neighbour: the front desk.
- Opens the ticket
The request goes on the department's list with the room, the time and the guest's words.
- Tells the guest when
"Housekeeping will bring them within 20 minutes", from the times you set, never a promise it can't keep.
- Puts urgent ones through
No heat in January, a leak, a lockout or a safety worry goes to the front desk or night engineer with a short summary first.
- Answers the small stuff
Wi-Fi password, breakfast hours, the pool, late checkout rules, a good place for dinner. From what you give it.
Example call
- CustomerHi, I'm in 214. The heat's not coming on and it's freezing in here.
- AI agentI'm sorry, let's get that fixed. Is this Mr. Hassan?
- CustomerYes.
- AI agentThanks. I've sent it to Joel, our night engineer, as urgent. He'll be at your door within 15 minutes. Would you like extra blankets brought up while you wait?
- CustomerYes, please.
- AI agentDone, housekeeping is bringing two. If the room still isn't warm after Joel's visit, call me back and I'll get the front desk to look at moving you.
After the call: Joel has an urgent work order for 214, no heat, with the guest's name, and housekeeping has a blanket request. The front desk sees both on its screen without having taken the call.
What your team gets
- Requests on the right department's list with the room and time
- Urgent problems put through to the desk or night engineer
- Guests told when to expect someone, from your set times
- Repeat problems by room, so maintenance sees the pattern
- A front desk that isn't tied to the phone during check-in
Questions
Can it move a guest to a new room?
It can ask the front desk to. Room moves stay with the desk, and it puts the guest through when it's urgent.
What about a medical emergency?
It tells the guest to call 911 right away and alerts the front desk at the same time.
Can guests ask for late checkout?
Yes. It reads your late checkout rule, and if there's a fee or it depends on occupancy, it sends the request to the desk to approve.
