Inbound: the customer calls

Tables booked while the host seats the room

At 7:10 on a Saturday the host has a line at the door and the phone is ringing again. Emma picks up, finds a table in tonight's book, and the host never turns away from the guests in front of her.

When it starts

A guest calls to book, move or cancel a table, or asks whether there's room tonight.

What the agent does

Reads the live book, offers the open times, books or moves the table and notes the occasion.

What your team gets

The reservation in the book with notes the host can read at a glance, and a text to the guest.

How it works

  1. Picks up in the restaurant's name

On the first ring, as many lines at once as ring in. The host keeps seating, and nobody on the floor reaches for the phone with a tray in hand.

  2. Reads tonight's book

Party size, date and time against the tables that are really open. If 7:00 is gone, it offers the two closest times, or the patio when the heaters are on.

  3. Notes what the host needs

A birthday, a high chair, a wheelchair, a booth by the window if they asked. Each note sits on the reservation for the host to read before seating.

  4. Moves and cancels

A guest running late or bringing two more finds a new time on the call. A cancelled table goes back in the book right away for walk-ins.

  5. Puts full nights on the waitlist

When Saturday is booked solid, the party goes on the waitlist and gets a text the moment a table frees up.

  6. Texts the confirmation

Time, party size, address and where to park, sent before the guest has put the phone down.

Example call

  1. AI agentGood evening, Rosewood Kitchen, this is Emma. How can I help?
  2. CustomerHi, any chance you have a table for four tonight? Around seven?
  3. AI agentLet me look. Seven is full in the dining room, but I have 6:45, or 8:15 by the window.
  4. Customer8:15 is fine. It's our anniversary, so the window's nice.
  5. AI agentHappy anniversary. I'll put that on the booking so your server knows. Anyone at the table with an allergy?
  6. CustomerNo, we're easy.
  7. AI agentLovely. Four at 8:15 by the window. What name should I put it under?
  8. CustomerBouchard.
  9. AI agentYou're set, Bouchard. I'm texting you the confirmation and parking now. See you at 8:15.

After the call: The book shows Bouchard, four at 8:15 at a window table with "anniversary" on the reservation, and the server sees it on the floor plan before the party walks in.

What your team gets

  • Reservations in your table book with party size, occasion and seating requests
  • Moved and cancelled tables back in the book within seconds
  • A waitlist that texts guests when a table opens
  • A message to the manager on duty for anything it couldn't answer
  • Recording, transcript and summary of each call in the portal
Set up with you: The team sets up a connection to your OpenTable, Resy, SevenRooms or Tock book, loads your hours, sections, patio rules and seating limits, and sets who gets messages. You hear test calls before it goes live.

Questions

Will it seat a party at a table that's already booked?

No. It only offers times the book shows open, for that party size, so the host never finds two parties promised the same table.

Can it take a reservation for 14?

It books up to the party size you set. Anything bigger goes to the private room and large party flow, where the events coordinator confirms.

What about our no-reservations patio?

It tells callers how the patio works the way you describe it, first come, first served, and offers a dining room table if they'd rather book.

Does it speak French?

Yes, and many other languages. It asks the guest before it switches.
