Signings booked with the exact ID to bring
Most calls to a notary are the same three questions: do you do this, what does it cost, what do I bring. She answers all three from your own price list and books the stamp.
A caller has a form, a letter or an agency that told them to get something sworn or notarized.
Works out the document type, quotes your fee, lists the ID, books the time.
A booking with the document type, the number of signers and pages, and the fee quoted.
How it works
- Names the document
Statutory declaration, affidavit, notarized signature, certified copy, proof of life for a foreign pension. If the caller isn't sure, she asks who sent it and what the form says at the top.
- Counts signers and pages
How many people sign, how many signatures each, and how many documents. That's what sets the fee and the length of the slot.
- Quotes your fee
Per document, per extra signature or per copy, straight from your price list. She never guesses a fee for something not on it.
- Gives the ID rules
Valid government photo ID for every signer, unexpired, with the name matching the document. An expired licence gets the backups you accept, such as a passport or a PR card.
- Books the slot
In the office or by video where your notary signs remotely, with longer slots for stacks of documents.
- Texts the checklist
Time, address, parking, the ID rules and a line in bold: don't sign anything before you arrive.
Example call
- AI agentGood morning, Hillcrest Notary in Kanata, this is Emma. How can I help?
- CustomerDo you do statutory declarations? My pension office sent me a form.
- AI agentWe do. Is it one form with just your signature on it?
- CustomerYes, just me. But my driver's licence expired last month.
- AI agentNo problem if you have another photo ID, like a passport or a health card with your photo. Do you have one of those?
- CustomerMy passport's good.
- AI agentPerfect. A statutory declaration is 45 dollars. I have today at 3:15 or tomorrow at 10. Please bring the form unsigned.
- CustomerToday at 3:15.
After the call: The notary's schedule shows 3:15 with "statutory declaration, one signer, pension form, passport as ID", and the caller has a text with the address and a reminder not to sign ahead.
What your team gets
- Bookings tagged with document type, signers and page count
- Fees quoted only from your own price list
- Fewer people turned away for expired or mismatched ID
- Longer slots booked automatically for big stacks
- A text checklist sent after every booking
Questions
Will she tell people what their form means?
No. She books the signing and lists what to bring. Questions about what to write on the form go to whoever sent it, or to the notary at the appointment.
What if the name on the ID doesn't match the document?
She asks about it on the call and lists what your notary accepts, such as a marriage certificate showing the name change.
Can she book remote signings?
Yes, where your notary does them. The text carries the video link and the ID rules for showing it on camera.
Does she take walk-ins?
She tells callers your walk-in hours and books a set time for anyone with more than a document or two.
