Inbound: the customer calls

Client crew orders for tomorrow's 6 a.m. start

A plant manager needs six general labourers for tomorrow's 6 a.m. shift and calls at 7 p.m. The order is open in your system before he hangs up, and filling starts that night.

When it starts

A client calls to order workers, extend an order or report a no-show.

What the agent does

Takes the site, role, headcount, start time, gear and contact, opens the order.

What your team gets

An order ready to fill, and the account manager told right away.

How it works

  1. Knows the client

By number and contact name, with the sites, the usual roles and the bill rates on file.

  2. Takes the order

Which site, which role (general labour, picker-packer, forklift, machine operator), how many, what date, what start time, how long.

  3. Gets the site details

Who workers report to, which door, safety gear, dress code, parking, and whether it's the same as last time.

  4. Opens it

The order goes into your staffing system with every detail, ready for shift offers to start.

  5. Flags same-day trouble

A no-show this morning or a crew needed in two hours goes to the account manager by warm transfer.

  6. Confirms with the client

A text with the order number and what was taken down. She never promises the order will be filled; the coordinator confirms names.

  6. AI agentI've opened the order for six, tomorrow to Friday. Our coordinator will text you the names tonight. Is there anything different about the work this week?

After the call: An order for six general labourers at Maplecrest Foods, three days, report to Victor at door 4, opens at 7:04 p.m. Shift offers to workers who've been on that line start right away, and the account manager has a note.

What your team gets

  • Orders opened with site, role, headcount, gear and contact
  • Repeat orders taken in a minute from what's on file
  • Same-day emergencies warm-transferred to the account manager
  • An order number texted to the client
  • Evening orders ready to fill the same night
Set up with you: The team sets up a connection to your staffing system for clients, sites and orders, and sets with your account managers which orders she can open and which need them first.

Questions

Does it tell the client the order is filled?

No. It opens the order and says the coordinator will confirm names. She never promises a headcount.

Can it take a new client's order?

It takes the details and books the account manager, who sets up the client and rates first.

What about a no-show this morning?

It's warm-transferred to the account manager, or the coordinator on call before the office opens.
