5 a.m. check-ins before the first shift
A worker who doesn't show at 6 costs you the shift and some of the client's trust. A quick check-in at 5 catches the dropouts while there's still time to send someone else.
A worker booked on a shift starting soon, especially a first shift at a new site.
Checks they're on their way, answers questions, starts a replacement for a dropout.
Confirmed workers for every start, and replacements already calling.
How it works
- Checks in before the start
An hour before the shift, or the night before for a first shift: a short call or text.
- Confirms they're coming
"Just checking you're set for Maplecrest at 6, door 4, Victor." A yes is marked on the order.
- Answers the last questions
Where to park, which door, what to bring, the bus that gets there in time.
- Catches the dropout
A worker who can't make it is taken off, and shift offers to the next workers on the list start right away.
- Tells the coordinator
If a spot can't be filled in time, the coordinator on call gets a text so they can warn the client.
Example call
- AI agentGood morning Kwame, it's Emma from Keystone. Just checking you're set for Maplecrest at 6, door 4.
- CustomerYeah, leaving in ten minutes.
- AI agentPerfect. Ask for Victor at the door. Steel-toes and hi-vis, and they'll have your hairnet.
- CustomerGot it. Is there parking?
- AI agentYes, the staff lot on the east side, past the trucks. Have a good shift.
After the call: Kwame is marked confirmed at 5:02 a.m. One other worker on the order says she can't make it, and the agent has her spot filled by 5:20 from the same list.
What your team gets
- Workers confirmed before every start
- Dropouts replaced from the same list before the shift
- The coordinator warned only when a spot can't be filled
- First shifts at new sites checked the night before
- Show rate by client and by worker
Questions
Call or text?
You choose, by worker. Many get a text, and a call only if they don't reply.
What if a worker doesn't answer?
A second try, then the coordinator on call is told the worker is unconfirmed, with time to act.
Does it check in every shift?
The ones you pick: first shifts, new sites and long assignments' first days are common.
